Fix the round, inform the panel and the candidate, and record who met whom.

Interview Scheduling fixes the round, tells the candidate and the panel, and notes who met whom. Slots come from when your people are actually free. Reminders go out on WhatsApp the evening before, and the outcome of the round is written on the same screen while it is fresh.

What it is

Interviews in a small company are fixed on the phone and remembered badly. On Saturday morning the candidate is told. The panel member is told the same day, and nobody says eleven o’clock or where the second gate is.

Here the round has a date, a time, a place and a panel. The address, the floor and a map link go out with it. The office knows who is expected tomorrow.

Inside the module

What interview scheduling does.

Rounds, not one interview

Phone screen, trade test, panel and a final word with the owner, each with its own date and people.

Slots from real availability

The screen warns when a panel member is already booked, so two candidates are not sent at four o’clock.

The invitation the candidate needs

Date, time, who to ask for, the floor and a map link, sent on WhatsApp or email. Fewer calls asking where to come.

Reminders the evening before

One goes to the candidate and one to the panel. No-shows drop when somebody is reminded at eight the night before.

Walk-in drives

A Saturday drive is set up as one slot with many candidates and reporting times, with attendance marked at the desk.

Rescheduled, not erased

Moving a round keeps the old date and the reason. A candidate rescheduled three times tells you something.

Who touches it

The people who open this every day.

HR executive

Fixes the slot, sends the invitation and prints tomorrow’s list for the front desk.

Panel member

Sees his own interviews for the week and opens the CV before the candidate sits down.

Front desk

Knows who is expected, marks them arrived, and tells HR when somebody has been waiting half an hour.

How it fits

It is one part of a system, not an island.

A module earns its place by what it passes to the next one. These are the connections we set up most often.

Common questions

Questions owners ask about interview scheduling.

Will interviews show up in Google Calendar?

They can. Where the panel already lives in Google Calendar, invitations go there and a busy slot blocks a new one. Offices that run on WhatsApp skip it entirely.

Can the candidate pick a slot himself?

Yes, if you want that. A link shows the open slots you have released, and the candidate chooses one. Most shop-floor employers fix the time themselves.

Is a diary enough for six interviews a year?

Yes. A diary and a phone handle that. Scheduling software starts earning its keep at walk-in drives, at three-round panels, and when interviews are spread across branches.

What about candidates who never turn up?

The no-show is marked on the round and stays on the candidate’s record. Over a season you can see whether Saturday slots or Wednesday slots work better for the people you are calling.
