Employment and HR · Software for hR consultancies

Prepare payroll inputs and track statutory dates for every client in one system.

An HR consultancy’s month is a run to the payroll cut-off and the social security and payroll tax dates, with thirty clients each sending attendance their own way. The employee records product holds client staff, attendance and leave, and hands each closed month to your payroll software. A calendar of every payment and return date, with filing status, is built around it.

At a glance

The month is a race to the cut-off, followed by the filing dates. Then it starts again. Every client works a little differently, and all of it lands on your team within a few days.

Bringing thirty clients into one calendar is the main value. The salary calculation stays in the payroll tool you already use. Share your requirements first.

How the work runs today

Each month, clients send attendance and leave in Excel, as a biometric export, or as a photo of a muster roll. Your team cleans it, works out unpaid leave and arrears, runs payroll, and prepares payslips. Social security, payroll tax and withholding payments follow before the due dates, usually in the same three days for every client. Salary revisions, new joiners and exits arrive as last-minute emails.

Alongside payroll you draft HR policies, handle labour law registrations and inspections, and sometimes run recruitment or training. Employees of client companies ask about payslips, tax forms and pension withdrawals. The partner tracks every client’s status in a sheet that only one person fully understands, which works until that person takes a holiday.

Where it breaks

What goes wrong for hR consultancies without a proper system.

Payroll inputs arrive late and untidy

A client sends the sheet on the second, in a new format, with names spelled differently. Rework starts that day.

One due date slips

Among thirty clients, one social security return is late. The penalty is small and the relationship cost is not. The client remembers it.

Employee queries take the day

Payslip, tax form and pension questions arrive on WhatsApp from people you have never met. Each one needs a lookup.

Billing is inconsistent

Per-employee fees and extra work such as registrations are billed from memory. Small amounts go unbilled.

What the software does

What we would build for hR consultancies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client payroll inputs

Bring in each client’s attendance from Excel or their biometric machine, and check it before payroll runs. Names are matched to the employee record.

The month, ready for payroll

Export days present, overtime and loss of pay in the format your payroll software needs, and hold the payslips it produces. Salary calculation and settlements stay in payroll.

Statutory calendar and payments

Track social security, payroll tax, withholding and labour registration dates per client, with filing status against each. This calendar is built around the product during implementation.

Employee self-service

Let client employees see payslips, tax forms, holiday lists and leave balances in a phone browser once payroll releases them, so fewer questions reach your team on WhatsApp.

Joining and exit paperwork

Collect joining documents with their expiry dates, and run exit clearance, so a client’s file is complete when it is asked for.

Client billing by headcount

Work out monthly fees from employees processed, plus one-time services. Billing is built around the product during implementation.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions hR consultancies ask before they call.

Can it post to our ledgers?

Not built in. Client invoices, and salary journals for clients who keep their own ledgers, can be exported once the ledger names are agreed. That export carries a separate price.

Should we buy payroll software instead?

Keep one for the salary calculation. A consultancy handling thirty clients also needs a multi-client view of inputs and dates, and a tool built for a single employer does not offer it.

Does it file the returns on the portals for us?

No. It holds the figures and tracks what is filed against each client and date. The upload on the social security and income tax portals stays with your team.

Can clients get their own portal?

Not in the standard product, where logins are for staff, managers and HR. A client login for uploading inputs and downloading reports is built around it during implementation, with one person named for each area to check the screens as they appear.

What moves the consultancy system quotation?

Choosing client payroll inputs first, or the statutory calendar, or employee self-service, changes the base most. Employees and clients matter, as do users, and biometric exports to read can change the total once the attendance machines are known. Client payroll inputs can be priced alone.

Gathering for the consultancy system: what first?

Bring attendance formats, a payroll sheet, the due date list and joining forms. Contacts from a payroll lead, a partner and billing are needed, and copies of the due date list are welcome.

Who owns the payroll inputs after we stop?

The consultancy keeps the source code, payroll inputs, statutory dates and exit paperwork. Plain-file exports cover payroll inputs, statutory dates and exit paperwork. The consultancy system builders keep supporting payroll inputs.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
