Employment and HR · Software for staffing and manpower agencies

Connect deployment, site attendance, client invoices and wage sheets for every associate you place.

Staffing and manpower agencies deploy housekeeping staff, loaders, drivers, data entry operators and guards at client sites, and some also place permanent hires. Attendance arrives from each site in its own format. The software keeps associates, client contracts, deployment, attendance, client billing and the wage sheet on connected records, so the month closes from one set of duties.

At a glance

A manpower agency earns on the gap between the client’s rate per head and the associate’s cost. Every missed duty or late invoice comes out of that gap.

Deployment, site attendance, client billing and the wage sheet run on our deployment product, built first for guard agencies. Associate records and payslips sit in the employee self-service product, and permanent hiring has its own recruitment system.

How the work runs today

A client asks for twelve housekeeping staff and two supervisors at a new site from next month. The branch sources people, collects ID proof, bank details and any social security number where one exists, issues an appointment letter and sends them to the site.

Each site sends attendance its own way: a signed sheet, a biometric export, a WhatsApp photo of the register or a supervisor’s call. The back office types all of it into the month’s sheet, checks it against the client’s count and works out overtime and absence.

From that sheet two documents are made. The client invoice shows the agreed rate per head and the service charge. The wage sheet carries overtime, advances and deductions on the agency’s own rules.

Where it breaks

What goes wrong for staffing and manpower agencies without a proper system.

Attendance arrives in five formats

Signed sheets, device exports and register photos have to be retyped before the month can close. Errors slip in there.

Client invoices and wages disagree

One copy of the attendance builds the invoice, another builds the wage sheet, and a disputed duty shows up twice. Margin leaks quietly.

Vacant posts go unbilled or unfilled

An associate leaves mid-month and the replacement joins a week later, but nobody records the gap at the post. The client deducts it anyway.

Associate papers are incomplete

ID copies, bank details and verification sit in branch folders, and a client audit asks for them across every site at once. The search takes days.

Advances are recovered by memory

Salary advances and uniform deductions are noted in a diary and missed at month end. Nobody owns the recovery.

What the software does

What we would build for staffing and manpower agencies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client contracts and sites

Record every client site with its posts or roles, shifts, contracted strength, rate per head or per duty, billing cycle and the person who signs off attendance. Each contract keeps its own rules.

Associate records

Hold each associate’s photo, address, ID proof, bank account, social security and insurance numbers, verification copies and the sites worked. Joining and exit papers stay on the same record.

Deployment roster and relievers

Place associates on sites and shifts for the month with weekly offs and leave visible, and keep a reliever list for gaps. Open posts show before the client notices.

Attendance from the site

Mark shift start and end at the site with a photo and location, or let a supervisor mark the whole team from one phone. Site attendance then feeds billing and wages from the same duty record.

Client billing by site

Compare duties delivered with duties contracted for each site, apply the agreed deductions and service charge, and raise the invoice. The attendance behind any line opens from the invoice.

Wage sheet and deductions

Build the wage sheet from duties with overtime, allowances, advances, uniform recovery, provident fund and insurance contributions on rules you set with your accountant. Returns are filed by your accountant, not by the software.

Permanent placements

Where the agency also recruits for permanent roles, mandates, candidates, interviews, joining and the replacement window run in the recruitment system.

Solutions inside

The business modules staffing and manpower agencies use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions staffing and manpower agencies ask before they call.

Will it file our statutory contribution returns?

No. It holds the social security and insurance numbers and builds the wage sheet the returns are made from. Filing, and any notice that comes back, stay with your accountant or consultant.

Will it suit an agency with thousands of associates across states?

Not on its own. At that scale a payroll-led HRMS built for volume is the main system. This suits agencies running deployment and billing for their own clients at a smaller scale.

Can associates download their own payslips?

Yes, through the employee self-service portal, once payroll has released them. It opens in a phone browser, and supervisors can apply for leave on behalf of their team.

Can client invoices and wage summaries go to our accounting system?

Not built in. An accounting export is scoped during implementation and priced as its own item. Ledger names are matched with your accountant first.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
