Each site has a contract for a number of guards and supervisors across shifts. The operations manager builds a monthly roster in Excel, moves guards between sites when someone goes on leave, and arranges relievers. Attendance is marked in a gate register, and supervisors send photos or a WhatsApp message to the office.
At month end, the office counts duties from registers and messages for each guard. Salaries, overtime, PF and ESI deductions are worked out in Excel.
Each client is billed on duties delivered against the contract, and any shortfall is argued over. Night checks by field officers are recorded in a diary, if at all.

Can salaries and invoices go to Tally?
Yes. Client invoices and salary summaries post to Tally, while duty-level detail stays in the new system for any queries.
Does it make us compliant with PSARA or labour laws?
No, and no software can. It records guard details, training dates, attendance, wages and deductions, so the records are easy to find when a client or an inspector asks. Compliance stays with you and your advisers.
Will guards manage a phone app?
Usually, because marking attendance is one button and a selfie. Where a guard has no smartphone, the supervisor marks attendance for the whole post.
Should we buy a ready guard management app?
