The customer says nobody came, and we have nothing that says otherwise.

A service report is what the technician leaves behind: the work done, the material used, photographs from the site, and a signature taken on his phone. It reaches the customer while the man is still there. When a complaint arrives three weeks later, the visit stops being a matter of opinion.

What it is

At six in the evening the technician rings to say all four jobs are done. The customer from the second one says he stayed ten minutes and never touched the kitchen. Both versions are in the air. The only paper is a duplicate-book slip with a signature on it.

Closing a job asks for four things: what was done, what was used, a photograph or two, and a signature on the screen. The report goes out under your name as a PDF or a WhatsApp message. Your office reads it at the same moment the customer does.

Inside the module

What service reports and proof of visit does.

Closed from the site

The technician finishes on his phone before he leaves. Nothing waits for him to reach the office on Saturday.

Photographs, before and after

The gutter before and the gutter after, the panel that was replaced, the corner that was treated. Time-stamped as they are taken.

Material and chemical used

What went into the job, in what quantity, out of the stock issued to him. Consumption stops being a monthly guess.

The customer’s signature

Taken on the screen with the name of whoever signed, because the security guard is not the facility manager.

Sent as it is filed

One action writes the record and sends the copy. No second typing at the office.

What he recommends next

A part that will not last the monsoon, or a follow-up in ten days, written on the report and carried forward as a task.

Who touches it

The people who open this every day.

Technician

Fills a short form, takes two photographs, gets the signature, leaves.

Service coordinator

Sees closed jobs through the day and chases the ones with nothing filed.

Accounts assistant

Bills the extra work from the report rather than from a phone call.

Owner

Opens any visit from last year and reads what was done.

How it fits

It is one part of a system, not an island.

A module earns its place by what it passes to the next one. These are the connections we set up most often.

Common questions

Questions owners ask about service reports and proof of visit.

What happens in a basement with no signal?

The report has to be built to hold what he typed and send it when the phone finds a network. That is real work, and it is scoped rather than assumed. Ask for it if your sites are basements, lifts and plant rooms.

Is a signature on a phone screen legally valid?

Treat it as a record of who accepted the work, not as a legal instrument. It settles most disputes because it carries a name, a time and photographs. Anything further, ask your lawyer.

Which products already send these?

Pest Control Business Management System closes each visit with the treatment, the chemicals used, photographs and the customer’s sign-off. Landscaping and cleaning crews file the same kind of report from a phone.

Our technicians write in a duplicate book. Is that enough?

It is, until the day a customer disputes a visit or an insurer asks for evidence. The duplicate book also hides what was used, so the material in your godown never agrees with the jobs done.
