The contract lapsed in March, and we found out when the customer called somebody else.
AMC management holds each contract with what it covers, how many visits it owes, the amount, and the date it ends. Visits are laid out from the start date, so nobody counts backwards in December. Renewals come up while the contract is still alive, which is the only time a renewal is easy.
One file per customer in a steel cupboard, and a diary of renewal dates copied from last year’s diary. Four visits a year, or was it six. The technician remembers one thing and the customer another, and the signed agreement they are both arguing about is in a box above the office.
Each contract carries its services, its frequency, its value and its period. From the day it starts, the visits it owes appear on the schedule. Done, pending and missed are three columns, and what the customer has paid sits beside them.
What amc and service contracts does.
The contract, with its terms
Sites covered, equipment listed, services promised, start and end dates, and the signed copy attached to the record.
Visits planned from day one
Monthly, quarterly or half-yearly visits are laid out for the whole period the day the contract is entered.
Owed against done
Visits completed, missed, and still to come. A contract ending with three visits unused is a bill you cannot defend.
Renewal before the lapse
A list that fills up sixty days out, with who is following each one and what the customer said last time.
Billing the way you sell it
Paid in full at the start, per visit, or in instalments. The unpaid part stays visible against the contract.
What is outside the contract
Material, a second visit for the same complaint, or work beyond scope, marked chargeable so it reaches the invoice.
The people who open this every day.
Service coordinator
Plans the month from contracts due, and chases the visits that slipped.
Accounts assistant
Raises contract bills and knows which customer is riding on an unpaid AMC.
Owner
Sees renewals due, contracts lost, and the value walking out in the next quarter.

How we would put it in.
Questions owners ask about amc and service contracts.
Do you have this working somewhere already?
Yes. Our Pest Control Business Management System lays out each contract’s visits from its start date and brings up a renewal list before contracts lapse. The same shape fits lifts, air conditioning and security systems.
We have thirty contracts in Excel. Is that a problem?
Thirty is manageable while one person owns the sheet. It goes wrong when visits are added mid-term, when a customer has four sites, or when nobody notices that two quarterly visits were never done.
Can it invoice the AMC automatically?
It raises the bill on the schedule you set and leaves the sending to a person. Owners generally want to look at a contract bill before it goes, especially the first one after a renewal.
What happens to visits nobody did?
They stay on the contract as missed, with the date they were due. That is uncomfortable, and it is the point. You would rather see it in July than at renewal.
