GullySystem
Security · Software for facility management companies

We run housekeeping, maintenance and pantry at twelve sites, and each site reports in its own way.

Facility management companies run housekeeping, maintenance, pantry and front office across client sites, and each site usually reports through its own Excel and WhatsApp group. GullySystem builds one system for attendance, checklists, tickets and consumable issues across sites, with site-wise billing at month end. It starts with a free technology audit of how your sites report today.

At a glance

Your client judges you on a clean washroom, a working lift and a quick reply to a complaint. You judge each site on manpower cost and consumables.

We build software that shows both views from the same data, site by site.

How the work runs today

Each site has a contract with manpower by role: housekeepers, technicians, pantry staff and supervisors. The site supervisor marks attendance, allocates areas, and runs daily checklists for washrooms, common areas and plant rooms. Technicians follow a planned maintenance schedule for DG sets, pumps, HVAC and lifts, often on paper logs.

Client complaints come through the admin team by email or WhatsApp. Consumables such as cleaning chemicals, tissue rolls and garbage bags are issued from a central store to each site. At month end, the head office collects attendance, consumable use and complaint reports from every site and bills each client.

Where it breaks

What goes wrong for facility management companies without a proper system.

Every site reports differently

One supervisor sends Excel, another sends photos, and head office rebuilds the picture by hand.

Consumable costs creep up

Chemicals and tissue rolls are issued to sites without a check against headcount or area.

Planned maintenance slips

The DG service was due last week and the paper log is at the site.

Complaints are closed without proof

The client says the leak was never fixed, and there is no photo or timestamp to show it was.

What the software does

What we would build for facility management companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Site-wise attendance and roster

Staff by role and shift at each site, with attendance marked on the supervisor’s phone.

Daily checklists with photos

Washroom, area and plant-room checks completed and time-stamped, visible to head office.

Planned maintenance calendar

DG, pump, HVAC and lift schedules per site, with readings and service records.

Complaint tickets

Client complaints logged, assigned and closed with before-and-after photos.

Consumables issue and use

Items sent to each site against a norm, with variance flagged.

Monthly site report and billing

Attendance, complaints and consumables summarised per client, alongside the invoice.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions facility management companies ask before they call.

Can billing and payroll entries go to Tally?

Yes. Site-wise invoices and salary summaries post to Tally, so your accounts team does not re-enter them.

Can clients see their own site dashboard?

Yes. A client login can show attendance, checklists and open complaints for their site only, so the admin team stops asking for a separate report.

Is this worth it if we manage only three sites?

Possibly not yet. Three sites can run on shared sheets and a disciplined supervisor, and the audit will say so if that is your case.

Can meters and plant equipment report automatically?

Where equipment has sensors or a controller, readings can be captured without a technician typing them. We would start with the manual log and add sensors where it pays.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
