Turn one garden project into a maintenance contract that someone actually remembers to renew.

Landscaping Management System is landscaping business software for companies that design, build and maintain gardens for villas, apartments and offices. Estimates are built from your own rates, and an approved one becomes the contract. Crews pick up their tasks and upload site photos from their phones. Plants and materials are ordered against the project. Maintenance follow-ups and renewals come up as reminders, before the date and not after.

  • Your rates for lawn, planting, paving and labour loaded first
  • Clients, open projects and live maintenance contracts brought over
  • After go-live the same people who configured it stay with you
Where it breaks today

What goes wrong before the software.

Every estimate takes three evenings in Excel

Each quote is copied from an old one: lawn by the square foot, plants by count, paving, and labour. One wrong cell and the margin is gone.

Quotes go out and nobody follows up

The quote is sent on a Friday and forgotten. You chase it a week late, and the builder has already given the job to someone else.

Plants arrive before the site is ready

Nursery deliveries, soil, and pavers turn up on the wrong day. Plants sit in the sun while the crew waits for the earthwork to finish.

Crews are sent out by phone call every morning

The supervisor rings each gardener with the day’s sites. Who went where, and what they did there, is not written anywhere.

Maintenance renewals slip

The yearly garden maintenance contract with an apartment society ends in March. Nobody notices until the association has hired another vendor.

We can’t tell which projects made money

Materials, labour, and extra work asked for on site are spread across bills and WhatsApp. Profit per project is worked out months later, if at all.

How it runs

How the work flows through it, step by step.

  1. 1

An enquiry from a villa owner

It goes on the record, and a site visit is fixed for Thursday. Notes and photos from that visit stay on the client.

  2. 2

    Estimate and contract

Lawn by the square foot, plants by count, paving, labour: the estimate is built from your own rates, not copied off an old quote. Quotes still waiting sit on a follow-up list. An approved one becomes the contract.

  3. 3

    Planned before anyone digs

Tasks and milestones are set and crews are put against them. Purchase orders to the nursery are timed to those milestones, so plants do not sit in the sun while the earthwork runs late.

  4. 4

    Work on site

Crew leads open their tasks on a phone, tick the checklist and upload photos. The client gets a milestone update by email or SMS. Nobody drives out to see whether the paving is done.

  5. 5

    Invoiced from the quote

The invoice is raised from the approved quote with GST. UPI, card or cash payments are tracked until nothing is pending.

  6. 6

    March, and the renewal

Maintenance visits go on the crew schedule. A renewal reminder comes up before the contract ends, not after the society has signed with somebody else.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Who uses it

One system, each person sees their part.

Owner

Quotes won and lost, projects on site, profit per project, and maintenance contracts coming up for renewal.

Project manager

Milestones, crews on each site, material deliveries, and photos from site, without driving to every garden.

Gardener or crew lead

Today’s site and tasks on a phone, the checklist, and a camera button for progress photos.

Purchase and accounts

Purchase orders to nurseries and suppliers, deliveries due, invoices raised, and payments pending.

Reports

The numbers the owner asks for.

  • Quotes sent, pending, and won
  • Profit per project against the estimate
  • Crew hours and tasks by site
  • Plants and material used by project
  • Unpaid invoices by client
  • Maintenance contracts due for renewal
Good fit

Who this is built for.

  • Landscaping companies building gardens for villas and apartment projects
  • Garden maintenance contractors with society and office contracts
  • Terrace and balcony garden firms handling many small jobs
  • Contractors doing handover gardens for builders
  • Horticulture teams maintaining corporate campuses and hotels
Honest answer

When it is not the right choice.

  • If you run a plant nursery that sells mostly over the counter, you need retail billing and stock, not project software.
  • A single gardener with a few regular homes can manage with a diary and UPI.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rates and services

Your rates for lawn, planting, paving and labour go in, along with your maintenance packages. Estimates then come out right the first time.

Clients and contracts moved across

Clients, projects in progress and maintenance contracts with their end dates arrive from your sheets.

Messages and payments

Milestone updates go by email or SMS. UPI, card or cash payments are recorded against invoices.

Training for crews and office

Short sessions for crew leads on the phone app, and for the office on estimates and purchases.

Hosting, and who changes a rate

Hosted by us, so the office and the site crews work from one record. A rate change or a new maintenance package is made by our support team.

Common questions

Questions owners ask before a demo.

Can the landscaping management software make estimates from our own rates?

Yes. You set your rates once, and each estimate is built from them. An approved quote becomes the contract and later the invoice.

Does it handle garden maintenance contracts and AMC renewals?

Yes. Maintenance visits are scheduled for the crew, and the client record carries reminders for follow-ups and renewals. You hear about a contract ending before the client does.

Can gardeners use the landscaping business app on their phones?

Yes. Crews see their tasks, complete checklists, and upload photos from an ordinary smartphone. The office sees progress without calling.

Can we see profit on each project?

Yes. Materials, labour, and invoices are recorded against the project, so you can compare what was quoted with what it cost.

Can a plant nursery use it?

Only for its project work. Plants are tracked as stock for your jobs, not sold at a counter. A nursery selling mostly to walk-in buyers needs retail billing instead.

How do the invoices get to Tally?

By export. Invoices and purchase bills come out for your accountant to import into Tally. A direct connection is scoped only if you ask for one.

Can you move our clients and contracts from Excel?

Yes. Clients, open projects and maintenance contracts with their end dates are imported. You check them before go-live.

Who owns our project and client data?

You do. It belongs to your company, and the written proposal covers the handover of everything you have entered.

How is this priced?

No price is published. It turns on your crews, your sites and what has to be set up. It starts with a demo and ends with a figure you can read and keep.

We are a small team. Where should we start?

Begin with our free technology audit, which costs nothing. We look at how you quote and schedule today, then say honestly whether this product, a simpler tool or your current sheets will serve you better.
