Quotation Management Built From Your Rate Card, Not an Old File

Quotation management in Landscaping Management System prices a garden from your own rates: lawn by the square foot, plants by count, paving and labour. The quote goes to the client, sits on a follow-up list while it waits, and becomes the contract for that project once it is approved.

Priced from rates you maintain

Most quotes in this trade are last month’s quote with a new name on top.

Your own rate card

Turf, saplings, soil, paving and labour carry your prices, so a junior can put a villa garden together without ringing the owner.

Quantity and unit on every line

Square feet, counts and cubic feet are what a client argues about later, so they stay on the line.

Revisions kept beside each other

When the water feature is dropped, the new version is saved next to the old one.

While the client thinks about it

A garden estimate can sit for three weeks with an architect.

Follow-up list

Quotes awaiting a decision stay in one list with the date they were sent and the person to call.

Sent as a document

The estimate goes out in a form the client can forward to their architect or their society committee.

Visit notes attached

Measurements and photographs from the site visit stay on the client record the quote was built from.

Approval turns it into work

Only the approved version should ever reach the site.

Quote becomes the contract

On approval the estimate becomes that project’s contract, carrying the lines everybody has agreed to.

Tasks set from the lines

Project tasks and milestones are laid out against the work that was actually quoted.

Billed from the same figures

The GST invoice is raised from the approved quote, so billing and estimate cannot drift apart.

FAQ

Frequently asked questions

Can a quotation carry photos of gardens we have done?

Yes, attachments go out with the estimate, and photographs of earlier work are often what closes an apartment job. The rate lines stay separate from that.

What happens to the quotations we lose?

They stay on the client record, marked as not won. When the same association asks again two seasons later, the old pricing is still there.

How do we handle extra work after the quotation is approved?

Add it as a change on the project instead of editing the signed estimate. The invoice then shows the original scope and the addition as separate lines.
