Architecture and engineering · Software for landscaping companies

The garden was handed over last year, and the maintenance visits are still tracked in a diary.

A landscaping company runs on planting plans, nursery orders, and monthly maintenance contracts, and the visits and plant warranties usually live in a diary. GullySystem builds landscaping software that turns the planting plan into a quote and tracks plants and hardscape material to site. It also schedules maintenance visits with photo proof, so renewals and replacements are not missed.

At a glance

Landscaping has two businesses inside it. The project, where you build a garden once, and the maintenance contract, where a gardener visits every week for years.

Both need different records, and most firms keep them on paper. We build software for both, and the free technology audit starts by looking at how you run them now.

How the work runs today

A builder or villa owner calls for a garden, a terrace, or a clubhouse lawn, and your designer checks soil and sunlight before drawing a planting plan. The quote lists plants by species and size, lawn by square foot, soil, drip lines, and labour. Plants come from nurseries on a tempo the day before planting.

After handover, apartments and offices sign an AMC for mowing, pruning, manure, and plant replacement. Gardeners go site to site on a two-wheeler, and the supervisor checks in by phone. Clients call when a palm dies, and nobody can say whether it was under the replacement clause.

Where it breaks

What goes wrong for landscaping companies without a proper system.

Plants die and nobody knows who pays

The warranty on new plants was agreed verbally, so each dead plant turns into an argument.

Maintenance visits cannot be proved

The association says the gardener skipped weeks, and you have no dated record to show them.

Nursery bills do not match the site

Two hundred plants were ordered, some went to another site, and the count at handover is short.

AMC renewals lapse quietly

Contracts expire, the client keeps calling for service, and the new rate was never agreed.

What the software does

What we would build for landscaping companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Planting plan to quotation

List species, sizes, quantities, and areas from the plan, and the quote builds from your rates.

Plant and material dispatch

Tracks plants and hardscape from nursery to site, so each site’s count matches the order.

Maintenance visit log

Gardeners mark each visit on a phone with before-and-after photos, and the client can see the log.

Plant warranty register

Records planting dates and the replacement period, so you know which dead plant is on you.

AMC schedule and renewals

Monthly visits planned per site, with invoices raised and a reminder before each contract ends.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions landscaping companies ask before they call.

Does it send maintenance invoices to Tally?

Yes. Monthly AMC invoices and project bills can flow to Tally, so GST filing stays with your accountant as it is now.

Will gardeners manage a phone app?

Most will, if the app works in Kannada or with icons and asks only for a photo and a tap. We test it with your crew before rolling it out.

We only do a few projects a year. Is software worth it?

For projects alone, maybe not. The maintenance side is usually where a small system pays for itself, because visits and renewals repeat every month.

Can one contract cover an apartment complex with many blocks?

Yes. One contract can hold several blocks or gardens, each with its own visit log and photos. The association gets one monthly report instead of calling the supervisor.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
