An American contractor or clinic rarely works in one tax jurisdiction. Rates change at state, county and city level, and an item taxable in one place can be exempt a short drive away. Software has to hold that per business, per location and per type of work, because a setting copied from one state fails when a customer queries a total. One national setting will not do.

Our team works from Bengaluru and has no office in the country. Delivery runs over video calls and shared screens, with written notes after each session covering what was decided, who owns each open item. Most owners prefer that to a visiting consultant who needs a desk and a coffee, because the notes then reach the bookkeeper without a retype.

Currency, tax and invoices

Invoices are issued in US dollars with the layout your customers expect: job address, line items, deposits taken, balance due and payment terms. Sales tax is set up per business, with rates by location, taxable or exempt items. Have your CPA review the rates and exemptions with you before the first customer is billed.

Language and messaging

Work is done in English, and Spanish is common on job sites and in many households; reminders and quotes go out by text message and email. Those are what most homeowners open first. Templates can be written in both languages, so a crew lead can send the same appointment note in whichever one the customer reads.

Data hosting and privacy

Hosting can sit in a cloud region inside the United States, close to most of your customers and to the staff who open the records every day. Privacy duties differ by state and by sector; a dental practice, a law office and a roofing company each hold different records. We list those records with you, then set access roles around every one of them, so a technician sees the job and an office manager sees the money.

Sales tax that changes at the state line

A plumbing company serving two states may charge tax on parts in one and on labour in the other. Each filing goes to a different state agency on its own calendar. Every invoice line must be tagged and reported by jurisdiction.

Cards, ACH, cheques and Zelle

A customer pays the deposit by card, a progress payment by ACH, and the balance with a cheque left on the kitchen counter. Card fees are a cost the owner wants to see per job. Deposits from several processors then have to be matched back to the right jobs, which takes a bookkeeper hours each month when payments arrive under a customer’s spouse’s name.

QuickBooks under the books

Most small firms already keep accounts in QuickBooks, often with a part-time bookkeeper who logs in once a week and dislikes surprises in the chart of accounts. Their bookkeeper expects invoices, payments and customer names to arrive there clean and matched to the right account; a new system works beside it and does not replace it. Chart of accounts and class codes are agreed before anything is posted.

Licences, permits and inspections

Electricians, HVAC firms, roofers and plumbers hold state or county licences, pull a permit for larger jobs and book an inspection before closing the work. The permit number, inspection date and result belong on the job record, next to the photos the crew took before the wall was closed up. General contractors also ask for insurance certificates before a crew shows up.

Weather and the seasonal swing

Air conditioning calls spike in a heatwave. Roofing follows a hailstorm. Landscapers slow with the first freeze. Staffing and trucks are planned around those swings. Contractors who pay 1099 subcontractors through the year collect forms and payment details before the first payment goes out.
