GullySystem
Healthcare · Dental Clinic Management Software

One connected system for chair appointments, tooth charts, treatment plans, lab work and billing.

Manage a dental clinic in one system. Appointments are booked by chair and by dentist, and each patient’s tooth chart, treatment plan and sittings sit on one record. Lab cases, payments by instalment and six-monthly recalls follow from the same entries.

  • Treatment list, chairs and dentist share rules entered as your clinic works
  • Patient list and open treatment plans migrated
  • Treatment and lab list edits handled by GullySystem staff when asked

Dental clinics with one chair or several run this system, set up for them by GullySystem. Dentists, associates and the front desk work from it. Each patient record carries a tooth chart, the treatment plan, every sitting, lab work orders and instalment balances. Payouts to associates follow the procedures they completed.

Where it breaks today

What goes wrong before the software.

Treatment plans live on paper

The plan is written on a case sheet and the estimate is told aloud. At the next visit, the patient and the clinic remember different things.

Multi-sitting cases lose their place

A root canal or a brace needs several visits. Which sitting is done and what comes next is not written where the next dentist will look.

Lab cases are chased by phone

Crowns, dentures and aligners go out to a dental lab with a slip. Nobody can say quickly which case is due back or which patient is waiting.

Part payments are not tracked

A patient pays a part of the estimate now and the rest later. The balance is held in memory or in a notebook.

Recalls depend on someone remembering

Patients due for scaling or a review do not return unless the desk calls them. A paper register is not read each month.

Associate and visiting dentists are paid from guesswork

Each dentist’s share is worked out from handwritten day sheets. Month-end figures are disputed because treatments and bills sit in different books.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking

A patient books by phone, on WhatsApp or at the desk. The visit goes on a chair with a dentist, and new patients get a record opened.

  2. 2

    Examination

The dentist opens the patient’s history and tooth chart, records findings by tooth, and notes any X-ray taken.

  3. 3

    Treatment plan

Procedures are listed against teeth with an estimate. The patient accepts all or part of it, and consent is recorded.

  4. 4

    Sittings and lab work

Each sitting is marked done against the plan. Cases that need a lab go out with a work order and come back for the fitting.

  5. 5

    Billing

Each visit is billed from the procedures completed, with each payment taken in cash, by transfer or by card and set against the plan balance.

  6. 6

    Recall

Patients due for a scaling, a review or an orthodontic adjustment are listed, and reminders go over WhatsApp or SMS.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

Reception books patients and walk-ins, handles reschedules and cancellations, and reads the day by chair, dentist or date.

  • Estimate/Quotation Management

Procedures are listed against teeth, the patient gets an estimate, and the dentist tracks what was accepted, done and still pending.

  • Job Work Management

Crowns, dentures and aligners go to the dental lab on a work order, with due date, receipt and fitting tracked.

  • Document Management

IOPA and OPG images and signed consent forms attach to the patient and the tooth they relate to.

  • Invoice Management

Completed procedures are billed, part payments are taken against the treatment plan, and the balance shows at every visit.

  • Commission and Incentives

Each associate or visiting dentist’s share is worked out from the procedures they completed, ready for month end.

  • Stock Tracking and Alerts

Composites, anaesthetic, gloves and disposables are counted with reorder levels, supplier orders and expiry dates.

  • Service Reminders

Patients due for scaling, review or an orthodontic visit are listed so the front desk can send their recall.

  • Multi-chair clinics with associate dentists
  • Clinics with visiting specialists such as an endodontist or oral surgeon
  • Orthodontic and implant practices with long-running cases
  • Dental clinics with two or more branches
Honest answer

When it is not the right choice.

  • A clinic that sees a handful of patients a week can manage with a diary and a card reader.
  • A clinic that also runs beds, wards and a pharmacy will find Hospital/Clinic Management System fits that part better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your treatment list and chairs

Procedures, fees, chairs and dentists are entered the way your clinic quotes and books them.

Dentist share rules

Share rules for associates and visiting dentists follow your current pay arrangement, so month end matches what they expect.

Patients and open plans migrated

Patient lists, phone numbers and open treatment plans arrive from your existing software, case sheets or register.

Case sheet and consent wording

Your own case sheet fields and consent forms are used. What they say is decided with the clinic and its own advisers.

Hosting and changes

GullySystem hosts the system, so every branch shares one patient list. Our staff handle edits to the procedure and lab lists.

Common questions

Questions owners ask before a demo.

Is it dental software or general clinic software?

Dental. The tooth chart, treatment plans, sittings and lab work orders are built for a dental practice. A clinic with beds or wards needs a different product.

Does it have a tooth chart?

Yes. Findings and procedures are recorded against each tooth, and the numbering shown is set with the clinic during implementation.

Can it track a root canal or a brace across several visits?

Yes. Each sitting is marked done against the plan, and the next step and next date are shown to whoever opens the case.

How is dental lab work handled?

Yes. A work order goes against the patient and tooth, and the clinic sees due dates, receipt from the lab and the fitting booked.

Can patients pay in instalments?

Yes. Part payments are taken against the treatment plan, and the remaining balance shows at the desk on every visit.

Does it work out what an associate dentist is owed?

Yes. The share is worked out from procedures completed, using the rules the clinic sets. Whether tax applies to it is for the clinic’s accountant.

Can patient records be moved from our current software?

Yes. Patient lists and open treatment plans are imported from existing software or a register, and the front desk checks the imported list ahead of the first day on the system.

Who owns the patient data?

The clinic does. Whether the records leave as a spreadsheet export or another format is worked out with the dentist-owner when the proposal is drawn up.

What does it cost?

No price is published. The figure follows the chair count, the dentists and the set-up, and a written proposal follows a demonstration.

Do we need this for a one-chair clinic?

Possibly not yet. Without long treatment plans or lab cases to follow, a diary and a card reader will do. A free technology audit can say so plainly.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
