Dental Appointment Calendar by Chair and Dentist

The calendar books each patient onto a chair with a dentist and a time slot. Walk-ins, emergencies, reschedules and cancellations show up alongside the day’s planned visits.

One book for every chair

A clinic with three chairs and two dentists needs to know which chair is free and which dentist is available at a given hour before a slot is promised. Both show together.

By chair and by dentist

A root canal needs a long slot with one dentist. The book holds the chair for the full duration. A scaling is not squeezed into the same hour.

Walk-ins and pain cases

A patient who arrives with a toothache is added to the day. Reception sees which chair opens next and which dentist can take the case.

New and returning patients

A first visit opens a patient record at booking. A returning patient’s booking links to the existing record and its open treatment plan.

Reschedules and cancellations

A moved visit changes on the calendar. The freed slot returns to the day. Nothing is crossed out in a paper diary.

Visit length by procedure

Each procedure on the clinic’s treatment list carries a default duration. A filling is booked short and an implant sitting is booked long. Reception can change the length whenever one particular case, such as an anxious child or a difficult extraction, needs more chair time.

Reminders before the visit

A reminder goes to the patient the day before over WhatsApp or SMS. Missed visits matter in a dental clinic because the chair and the dentist are held for that slot. The patient can confirm, or ask to move.

What the calendar does not do

It records bookings and shows gaps. Which dentist works on which day, and how many chairs the clinic runs, are decisions for the owner. They are entered during implementation.

FAQ

Frequently asked questions

Can patients book on their own?

Yes, where the clinic wants it. A booking from a link or a message lands on the same calendar as desk bookings, and the desk confirms it.

What happens when a dentist is on leave?

The dentist’s day is blocked on the calendar. Existing bookings in that period are listed so the desk can move them to another dentist or another date.

Can two chairs be held for one case?

Yes, for cases such as a surgery with an assistant on a second chair. The clinic sets which procedures need this.

Does the calendar work for several branches?

Yes. The desk can view each branch’s chairs, so a patient can be offered the other branch when the usual one is full.
