Our fee is tied to stages, but we only notice an unpaid stage when drawings are already out.
An architecture practice runs on stage-wise fees and drawing sets that go through many revisions, and an unpaid stage often surfaces after drawings are out. GullySystem builds practice software that ties fees to stages, keeps a register of issued revisions, and logs site visits. Where you also do interiors, it adapts our interior design management system.
Architects get paid for stages: concept, schematic, working drawings, and site supervision. Drawings, though, keep getting issued whether or not the stage has been paid.
We build practice tools around how you issue drawings and bill fees. Where you also handle interiors, our interior design management system is adapted to your office.
A client comes with a plot and a budget. You agree a fee as a percentage or lump sum, split by stage, and start on concepts. Structural drawings come from a consultant, plumbing and electrical from others, and each drawing goes through revisions that are emailed as PDFs and discussed on WhatsApp.
Once construction starts, you visit site, answer the contractor’s questions, and issue revised drawings. The approval for sanction goes to the BBMP, BDA, or local authority. Fee invoices are raised in Tally when someone remembers which stage is done.
What goes wrong for architects without a proper system.
The contractor built from an old drawing
Revision C was emailed, but the site team was still working from the printout of revision A.
Stage fees slip for months
Working drawings are handed over, and the matching invoice is raised long after, when the client is less keen to pay.
Site visits leave no record
Instructions given on site are forgotten, and there is no dated note when the client disputes a change.
Consultant drawings arrive late
Nobody can see which structural or MEP drawing is pending, so the whole set waits.
What we would build for architects.
Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.
Drawing register
Every drawing with its revision, date issued, and who it was issued to, so the site always knows the current version.
Stage-wise fee schedule
Fees split by stage, with an invoice prompt when a stage’s drawings are marked issued.
Site visit reports
A phone form with photos, observations, and instructions, shared with the client and contractor the same day.
Consultant tracker
Lists what each consultant owes the project and by when, and flags delays.
Interiors and BOQ
When your practice does interiors too, BOQs, vendor orders, and site progress come from our interior design product.

Does it connect to Tally for fee invoices?
Yes. Stage invoices can be pushed to Tally with GST, so your accountant keeps one set of books.
Will it replace AutoCAD or Revit?
No. You keep designing in the tools you use; this system tracks the drawings those tools produce, who has them, and what was billed.
We are a small practice. Is this overkill?
It might be. A good drawing register in a shared sheet may do for a two-person office, and the free technology audit will say so plainly.
Can clients see drawing updates?
Yes. Clients can get a view of issued drawings and site reports without seeing your internal notes.
What happens in the free technology audit?
We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
