Architecture and engineering · Software for environmental testing laboratories

Follow every water, soil and air sample from collection to signed test report.

Environmental testing laboratories test water, soil, air and waste samples for industrial plants, consultants and local authorities. Samples are logged on arrival, split across methods and analysts, and reported against limits. The laboratory software holds each sample with its chain of custody, holding time, instrument run and result. Quality control checks, reviewer sign-off and the final report stay linked.

At a glance

An environmental laboratory is asked one question about every sample. Can the result be trusted? The answer depends on who collected it, how long it waited, which instrument ran it and who checked the numbers. Much of that is written on paper forms, bench sheets and instrument printouts, then typed again into a report by someone who was not at the bench.

Software for the laboratory keeps one record from sampling request to signed report. Holding times and calibration dates raise a flag before a result is spoiled. Reviewers see the control data beside the answer. Clients receive the report in the format they asked for, and a corrected version never overwrites the original.

How the work runs today

A client books a sampling round or sends bottles to the laboratory. Field staff collect water, soil, stack emissions or ambient air, then add preservative where a method needs it. They fill in a chain of custody form with times, places and signatures. At the laboratory, the sample receipt desk checks temperature and condition, gives each bottle a laboratory number and notes anything that arrived damaged.

Analysts take aliquots for each test on the order, such as metals, nutrients, solvents or microbiology. Each batch runs with blanks, duplicates and spiked samples. Instrument readings are exported to a spreadsheet. A senior analyst reviews the batch, and anything outside the acceptance range is repeated before the result is released to the reporting desk.

The reporting team compares results with the limits the client named, prepares the certificate and has it signed by an authorised person. Some tests go to a partner laboratory. Invoices follow.

Where it breaks

What goes wrong for environmental testing laboratories without a proper system.

Chain of custody is on paper

Signatures go missing. Staff fill the custody form by hand in the field, the desk copies it into a register, and a blank signature surfaces only when the client chases the report.

Holding times pass unnoticed

Some tests must start within hours or days of sampling. Without a running list, a sample can wait on the bench until its result is no longer valid, and nobody notices before the report is drafted.

Instrument and quality records are separate

Calibration dates, reference standards and batch controls sit in logbooks and instrument folders. A reviewer must open the logbook, the reference standard file and the instrument folder before approving a single result, and the delay stacks up across a whole batch.

Reports are typed from bench sheets

Results are copied from spreadsheets into a report template. Each copy risks a transposed digit. Every correction needs a new version. The client must be told which one is current.

Turnaround is promised without a view of the queue

Sales agree dates with clients while the bench is already full, and analysts learn of the commitment only when the sample arrives at the receipt desk. Dates slip.

What the software does

What we would build for environmental testing laboratories.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Sampling requests and field schedules

Plan sampling rounds by client, site and matrix, assign field staff, and prepare the bottle sets and preservatives needed for each visit before the vehicle leaves.

Chain of custody and sample receipt

Record collection details, handover signatures, arrival condition and temperature. The receipt desk gives each sample its laboratory number.

Test orders and holding times

Attach the methods ordered to each sample and show the date by which each test must start. The nearest deadlines come first.

Batches and quality control samples

Group samples into batches with blanks, duplicates and spikes. Each control is compared with its acceptance range.

Instrument and standards register

Hold calibration dates, maintenance, reference materials and their expiry. A batch cannot be started on an instrument that is overdue, so the gap is caught at the bench.

Result review and certificate of analysis

Enter or import results and route them to a reviewer. Compare them with client limits and issue a signed certificate in your own layout.

Orders, partner tests and invoicing

Quote by test and matrix, send selected tests to a partner laboratory with a tracked return, and invoice from the tests completed. Nothing is billed twice.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions environmental testing laboratories ask before they call.

Can it take readings from our analytical instruments?

Often, yes. Where an instrument exports a file, results can be imported against the sample and batch. The link depends on the instrument model, and it is scoped during implementation with your analysts.

Does it replace our accreditation documents?

No. It holds the records your quality system relies on, such as calibration dates and review sign-offs. Your quality manager decides what the accreditation body needs to see.

Can clients check the status of their samples?

Yes. A client login shows each sample’s stage and the report once it is issued. Raw bench data is visible to laboratory staff only, which keeps working records apart from the client’s view.

Can limits differ by client or by permit?

Yes. Limits are held per client, site or permit and printed beside each result. Your own staff confirm which limit applies to a given sample.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
