Engineering · Environmental Testing Laboratory Management Software

One connected system for sampling, sample receipt, analysis, quality control and signed reports.

Manage an environmental testing laboratory in one system. Sampling rounds, chain of custody and sample receipt feed analytical batches with quality control checks. Results go to a reviewer, are compared with client limits and issue as a signed certificate. Instruments, standards, partner tests and invoices stay linked to the same sample record.

  • Methods, matrices, limits and report layouts entered as your laboratory uses them
  • Client list, test menu and open samples migrated
  • Edits to methods and certificate layouts handled by GullySystem staff when asked

GullySystem configures this system for environmental testing laboratories, large or small. Field samplers, receipt staff, analysts, reviewers and the reporting desk work from it. Each sample carries its custody record, holding times, methods, batch, results and certificate. Instruments and reference standards are tracked beside the work they support.

Where it breaks today

What goes wrong before the software.

Sampling plans live in calendars and emails

Rounds are agreed by message, and bottle sets are prepared from memory. A missed preservative or a wrong site code is found at the receipt desk.

Custody forms are copied by hand

A paper form travels from the field to the laboratory register. Times, signatures and temperatures are retyped, and gaps appear only at report stage.

Holding times are tracked on a whiteboard

Each method has its own limit between sampling and analysis. A whiteboard or spreadsheet shows today, not what will expire in three days.

Quality data is spread across files

Blanks, duplicates, spikes and calibration curves sit in instrument folders. The reviewer assembles the picture before approving each batch.

Reports are assembled from several sheets

Results get pasted into a template, limits are checked in another file, and a client’s correction spawns yet another version.

Equipment records are separate from the work

The calibration log is kept by one person and the bench schedule by another. An instrument can be used after its date has passed.

How it runs

How the work flows through it, step by step.

  1. 1

    Order

A client places an order by site and matrix, naming the methods needed. A sampling visit is planned or bottles are expected.

  2. 2

    Collection and custody

Field staff record time, place, preservative and condition at collection. Each custody transfer records who gave, who received and when.

  3. 3

    Receipt

The receipt desk checks the bottles against the order, records temperature and damage, and assigns laboratory numbers.

  4. 4

    Analysis

Samples are placed in batches with their quality controls and run on instruments that are in date. Results are entered or imported.

  5. 5

    Review and approval

A reviewer sees results, controls, instrument and analyst together. Approved results move on and queried ones go back to the bench.

  6. 6

    Reporting and invoicing

The certificate is issued with limits shown beside each value and signed by an authorised person. The invoice follows the tests completed.

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Clients, sites and permits

Keep each client’s sites, contacts, permit limits, reporting formats and billing terms on one record.

Sampling schedules

Plan field rounds by site, matrix and date, assign samplers and generate the bottle list for each visit.

Chain of custody

Capture collection time, location, preservative and each handover, from the field tablet to the receipt desk.

Sample receipt and labelling

Log arrival condition and temperature, assign laboratory numbers and print labels for bottles and aliquots.

Test menu and methods

Maintain the methods you offer, with units, detection limits, holding times and the price of each test.

Analytical batches and controls

Build batches with blanks, duplicates and spikes, and compare every control with its acceptance range.

Instruments and reference standards

Track calibration, maintenance, reference materials and expiry dates, and link each batch to the instrument and standards used.

Result entry and review

Enter or import results, calculate derived values, and route each batch to a reviewer for approval or return.

Certificates and limit checks

Compare results with the client’s limits and issue a signed certificate in your own layout, with every version kept.

Partner laboratory tests

Send selected tests to an outside laboratory and track the sample out, the report back and the cost passed on.

Quotes and invoicing

Quote by test and matrix, raise invoices from completed work and follow payment against each client.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Technician Scheduling

Each field round is placed against the samplers who will drive it, with the sites, bottle sets and visit dates visible to the whole team.

  • Batch and Serial Tracking

Every sample receives a laboratory number and travels in a batch, so any result can be followed back to its bottle, analyst and run.

  • Barcodes and Labels

Labels printed at the receipt desk carry the laboratory number for the bottle and each aliquot drawn from it.

  • Quality Control

Blanks, duplicates and spikes are recorded with each batch and compared with their acceptance ranges before a reviewer sees the results.

  • Asset AMC Tracking

Calibration dates, service contracts and maintenance for each analyser sit on one record, with warnings before an instrument falls out of date.

  • Document Management

Issued certificates, superseded versions and supporting instrument files are filed against the sample so an auditor can open the full trail.

  • Workflow and Approvals

A batch cannot be released until the named reviewer approves it, and a query sends the work back to the bench with a reason.

  • Quote & Proposal Management

A quotation is priced from the test menu and the matrix, with revisions kept, and an accepted quote becomes the order for the bench.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the laboratory manager

See samples by stage, the queue by analyst and instrument, work close to its holding time and reports due.

For field samplers

Open the day’s sampling list on a tablet, record custody details at each site and hand samples over with a signature.

For analysts

See the batches assigned to you, the methods and controls required, and the instruments that are in date.

For the quality manager

Review control charts, overdue calibrations, corrections issued and approvals given, with each change attributed.

For clients

Orders go in through the client’s own login, which also shows where each sample stands and holds issued certificates for download.

Reports

The numbers the owner asks for.

  • Samples by stage and by days to holding limit
  • Turnaround by method and client
  • Quality control results by batch and analyst
  • Instruments and standards due for calibration or replacement
  • Reports issued, corrected and withdrawn
  • Revenue by client, matrix and test
Good fit

Who this is built for.

  • Commercial laboratories testing water, wastewater, soil and air
  • Laboratories attached to an industrial plant or treatment works
  • Consultancies that run field sampling and in-house analysis
  • Laboratories that hold or are seeking accreditation
  • Groups with several sample collection points sending to one bench
Honest answer

When it is not the right choice.

  • A laboratory that tests a few samples a week for a single client may manage with a logbook and a report template.
  • A clinical or pathology laboratory working on patient specimens will find the diagnostic lab product closer to its needs.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your methods and detection limits

Test methods, units, limits and holding times are entered as your laboratory defines them.

Certificate layouts

Reports follow the layout your clients and your quality system expect, with the wording agreed by the laboratory.

Instrument connections

Where an instrument exports files, results can be imported into the batch. The connection is scoped instrument by instrument.

Client list and open samples migrated

Clients, sites, the test menu and samples still in progress come across from your current sheets or software.

Hosting and changes

GullySystem hosts the system. If a method, limit or certificate layout needs changing, our staff make the edit on request.

Common questions

Questions owners ask before a demo.

Is this the same as software for a clinical laboratory?

No. This one follows environmental samples, with sites, matrices, holding times and permit limits. Patient specimens and clinical reference ranges belong to a different product.

Does it record chain of custody in the field?

Yes. Samplers log collection details on a tablet or phone. Every hand-to-hand transfer is time-stamped with the names involved, and sample receipt sees it at once.

How does it warn about holding times?

Each method carries its own limit. The bench list shows the date by which a test must start, and samples nearing it rise to the top.

Can it compare results with permit limits?

Yes. Limits are stored per client, site or permit and shown beside the value on the certificate. Your staff confirm which limit applies.

What happens when a result is corrected after issue?

A new version is issued and the old one is kept, marked as replaced. The client sees which certificate is current.

Can we bring results in from our instruments?

Where an instrument writes a file, an import can be built for it. That work is scoped for each instrument during implementation.

Can several sites send samples to one laboratory?

Yes. Each collection point has its own sampling list and custody record, while the bench works from one shared queue.

Who owns the test data?

The laboratory does. The proposal sets out the form in which records and files can be taken away, so the way out is known at the start.

How is the price decided?

It follows the number of staff, instruments and connections you want. We begin by following one sample from the field to its certificate, and only then send a written quotation.

Does a small laboratory need it?

It can be, once holding times and quality records outgrow a logbook. A first conversation can tell you whether you have reached that point.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
