Healthcare · Pathology Lab Management Software

Follow every sample from registration and barcode to worklist, sign-off, report and bill.

Run a pathology lab from one system. A patient is registered with the tests ordered, and each sample gets a barcode at collection. Results are entered against the lab’s own reference ranges and wait for a pathologist’s sign-off. The signed report, the bill and any dues from a collection centre or referring hospital follow from those same entries.

  • Test master, profiles, reference ranges and rate lists entered as your lab uses them
  • Patient history and open B2B balances migrated where your old records allow
  • Edits to tests, ranges and rates handled by GullySystem staff when asked

Pathology labs and their collection centres run this system, set up for them by GullySystem. The front desk, phlebotomists, technicians and pathologists each work from it. Every sample carries a barcode from collection to result. A report leaves the lab only after a pathologist signs it, and bills follow the rate list agreed with each patient group or partner.

Where it breaks today

What goes wrong before the software.

Samples are matched to patients by hand

Tubes are labelled with a marker and the name is copied into a register at the bench. One wrong label puts a result on the wrong report.

Results are typed twice

A technician reads values off the analyser printout and types them into a report template. Every copy is a chance for error.

Nobody can say which reports are pending

A patient or a doctor calls for a report, and the desk walks to the bench to ask. Pending work has no single list.

Collection centre dues drift

Each collection centre and referring hospital has its own rates and credit terms, and the month-end statement is built in a spreadsheet. Disputes follow.

Outsourced tests go out of sight

Special tests are sent to a reference lab with a courier slip, and the date they should return is held in someone’s memory. Patients keep calling.

Kits expire on the shelf

Reagent kits and controls are ordered by looking in the fridge, and the lot number used for a run is not written down. Stock surprises the lab.

How it runs

How the work flows through it, step by step.

  1. 1

    Registration

The patient is registered at the desk, at a collection centre or at home, with the referring doctor and the tests or profiles ordered.

  2. 2

    Collection and barcode

Each container gets a printed barcode linked to the patient and the tests. Rejected samples are marked with the reason and a recollection is booked.

  3. 3

    Worklists and results

Samples arrive on each department’s worklist. Technicians enter results, and values outside the lab’s reference range are flagged as they are typed.

  4. 4

    Pathologist sign-off

The pathologist reviews the results, the flags and the patient’s earlier values, then signs the report or sends a test back for a re-run.

  5. 5

    Report delivery

Only a signed report is released. It is printed, emailed or sent through the lab’s own WhatsApp Business account where that is set up.

  6. 6

    Billing and dues

Walk-in patients pay at registration, while collection centres, hospitals and corporate accounts are billed on their agreed rates and settled against a ledger.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Barcodes and Labels

A barcode prints for every container at collection, recording sample type and time, and the lab marks any rejected sample with a reason.

  • Appointment Scheduling

Home collections are booked by area and time slot and assigned to a phlebotomist, and the front desk sees which samples have reached the lab.

  • Quality Control

Technologists record daily control runs by test and machine, plot them against limits the lab sets, and note the action taken on a failed run.

  • Stock Tracking and Alerts

Reagents, kits, controls and consumables are counted by lot number and expiry, with reorder levels and supplier orders raised from the same screen.

  • Price Lists and Schemes

Registration picks the right rate list for the patient or referrer, so each test is billed at the price agreed for that source.

  • Point of Sale Billing

The registration desk bills at the time of sample intake, takes cash, UPI or card, and tracks part payments, refunds and dues.

  • WhatsApp, SMS and Email Notifications

Signed reports print on the lab’s letterhead or go out by email or WhatsApp, and every resend is logged against the patient.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the lab owner

See samples by source, pending reports, collections, B2B dues, outsourced tests and kits near expiry.

For pathologists

Review results with flags and earlier values, sign reports, and send a test back for a re-run.

For technicians

Work from your department’s worklist, enter results, record control runs, and see which samples are still to come.

At the front desk

Register patients, take payments, book home visits, answer report enquiries and hand over signed reports.

For phlebotomists

See the day’s home visits by area, print or scan barcodes, and mark each sample handed in.

Reports

The numbers the owner asks for.

  • Samples received by source and department
  • Reports pending sign-off and delivery
  • Rejected samples and recollections
  • Collections by mode, test and centre
  • Outstanding dues by B2B account
  • Outsourced tests overdue from the reference lab
  • Kits to reorder and lots near expiry
Good fit

Who this is built for.

  • Single-location pathology labs with a walk-in desk
  • Labs that run home collection with their own phlebotomists
  • Labs with franchise or partner collection centres
  • Labs that process samples for hospitals, nursing homes and clinics
  • Hospital-attached labs that bill outside patients separately
  • Lab chains with two or more processing sites
Honest answer

When it is not the right choice.

  • A collection-only centre that sends every sample to one partner lab will usually work inside that lab’s own portal.
  • An imaging or scan centre needs Diagnostic Centre Management Software, which is built around modalities and radiologist reporting.
  • A hospital that wants its lab inside admissions and ward billing may find Hospital/Clinic Management System fits that part better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your test master and ranges

Tests, profiles, packages, units, methods and reference ranges are entered from your own lab’s list. Your pathologist approves them before use.

Rate lists by account

Walk-in rates, camp rates and the rates agreed with each centre, hospital or corporate client are kept as separate lists.

Report layout and signatures

Reports carry your letterhead, the pathologist’s name and the signature image the lab chooses to use.

Patient history migrated

Patient lists and past results arrive from your existing software or spreadsheets, where those records can be read out.

Analyser interfacing

Sending results straight from an analyser is scoped per machine model. Until then, technicians type results on the worklist screen.

Hosting and changes

GullySystem hosts the system, so collection centres and the main lab share one sample list. Our staff handle edits to tests and rates.

Works alongside

  • WhatsApp Business (the lab’s own account)
  • SMS
  • Email
  • UPI and card payments
  • Barcode label printer and scanner
  • Analyser interface, scoped per machine model
  • Tally export, quoted separately
Common questions

Questions owners ask before a demo.

Can results come straight from our analysers?

Only where it is scoped. Interfacing is worked out per machine model, depending on what the analyser sends out. Until then, results are typed on the worklist with range flags.

Can a report go to the patient before the pathologist signs it?

No. A report is released only after sign-off. A provisional culture report goes out only if the pathologist signs it as provisional.

Does it handle home collection?

Yes. Visits are booked by area and slot, given to a phlebotomist, and each barcoded sample is marked when it reaches the lab.

Can our collection centres register patients themselves?

Yes. Each centre logs in, registers its patients, prints barcodes and sees its own reports and statement. Rates follow that centre’s agreed list.

Will it make our lab NABL accredited?

No. The system keeps sample, result, sign-off, control and stock records that a lab uses in its own quality work. Accreditation stays between the lab and the assessing body.

Are reports linked to ABHA numbers under ABDM?

No. Patient records carry no ABHA link today. If ABDM participation matters to your lab, raise it during scoping, as that is separate work.

Can bills go into Tally?

Not built in. A Tally export is separate work, scoped with the lab and priced in the proposal if you want it.

Is it a PACS or a radiology system?

No. It is built for pathology samples and reports. An imaging centre needs a product built around scans and radiologist reporting.

What does it cost?

No price is published. The figure depends on centres, users, interfacing and set-up, and a written proposal follows a demonstration.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
