Each report below is drawn from the admissions, attendance, instalments and test marks the office and faculty already enter. Nothing has to be prepared separately for them.

Admissions and money

Admissions by course, batch and source

How many students joined each course, which batches filled up and which enquiry sources brought them in, read course by course. The owner watches this through the admission season.

Instalments due, collected and overdue

What fell due in the period, what came in and what is still pending, with the parent number standing against each student name. The office calls down the overdue list.

Batch strength and students who left

Strength month by month with the students marked as left and the reasons recorded against them. A batch losing students shows early.

Teaching and results

Attendance by batch and by student

Strength present in each sitting, and absences subject by subject for one student, which is often the first sign of a slide. The office works the call list from it.

Test marks, ranks and score history

Rank lists for a test and the score history of a student across the year. Weak subjects stand out batch by batch.

Syllabus coverage against the plan

Portion done and portion pending for each batch, read against the target dates in the topic plan. Coordinators use it before the revision months.

Faculty hours by subject and batch

Sittings held and hours taught for the month, including substitute duties. It feeds the pay working the centre does.

How the reports behave

Every report is built from the day’s entries, so a figure changes the moment a payment is taken at the counter or a mark is typed in. A report can be filtered by course, batch, faculty member or date range. Lists open to the student record behind them, which saves a second search. Exports go to the accountant or to a parent meeting. Printing is there where paper is wanted.

Frequently asked questions

Can a report be exported for the accountant?

Yes. Fee collection and instalment reports export to a spreadsheet file for whoever keeps the centre’s books.

Are the numbers current or from last night?

Current. A report is built when it is opened, from the entries made up to that moment.

Can a coordinator be given only the teaching reports?

Yes. Which reports a role opens is part of the rights worked out with the owner before go-live.

Is a report for one batch alone possible?

Yes. Course, batch, faculty member and date range are the usual filters on every list.
