Coaching Centre Software Connections to WhatsApp and UPI

A coaching centre already uses a messaging channel, a payment method and sometimes a device at the gate. The system connects to those rather than replacing them.

Reaching parents

WhatsApp

Absence notes, test marks, instalment reminders and notices can all travel on WhatsApp, which is the channel most coaching parents actually read. An approved sender is needed.

SMS and email

Text messages suit a short reminder. Email suits a receipt or a notice carrying a file, and both of them run through a provider account the centre holds.

What stays outside

Delivery, provider pricing and template approval sit with the messaging provider. The system records what went out.

Taking payments

UPI and payment gateway

A parent can be sent a link or a code for an instalment, and matching that payment back to the instalment needs the gateway connected. Centres often start without it.

Counter payments

Cash, card and cheque are recorded at the counter with the mode and the reference. A cheque carries its number and clearing date.

Receipt and card printers

A receipt printer at the counter and a card printer for student identity cards are both common at coaching centres. The model is confirmed first.

Devices and files

Biometric attendance devices

A fingerprint or card device at the gate can feed entry records into the system, and whether it replaces batch marking is the centre’s call. The device model matters.

Marks from OMR or a spreadsheet

Mock test marks often come out of a scanner as a file, and bringing that file into the test record depends on the output your machine produces. Formats differ by machine.

Tally export

Fee collection can be prepared as a file for Tally. The ledger structure comes from the centre’s accountant, and that export is priced separately.

  • Which connections are in the first release and which come later
  • Who pays provider charges, which stay with the centre

Frequently asked questions

Will any fingerprint device at the gate work?

No. Support turns on the make and model, so your device is checked during scoping before anything is committed.

Does a UPI payment close the instalment on its own?

Only with a gateway connected. Without it, the counter records the payment and the reference by hand.

Can marks be loaded from a scanner file?

Often. The scanner output is examined first, because formats differ between the machines coaching centres buy.

Is a Tally link included?

No. Fee reports are available to your accountant, while the Tally export is scoped once the ledgers are explained.

Who holds the WhatsApp sender account?

The centre does. GullySystem connects the system to it, and the provider charges remain with the centre.
