GullySystem
Field Services · Waste Management Company Management Software

One connected system for routes, containers, weighbridge tickets, disposal records and billing.

Run a waste collection business from one system. Dispatchers plan rear-loader and roll-off routes by day and truck, drivers record lifts and misses from a phone, and the yard knows where each skip sits. Weighbridge tickets, disposal receipts and transfer notes attach to the load they belong to. Invoices carry lifts, tonnes and container hire at the rates agreed with each customer.

  • Routes, material rates and container types entered as your yard works
  • Customer list and container counts migrated from your sheets
  • Support for the yard and the weighbridge office at go-live

Waste collection and haulage companies of any size use this GullySystem product. Dispatchers, drivers, weighbridge clerks, accounts and compliance staff all work from it. Each load carries its route, weights, facility receipt and customer charge. Containers are followed from the yard to the customer site and back.

Where it breaks today

What goes wrong before the software.

Routes live in the dispatcher’s head

The route is a paper list or a map in one person’s memory, so when that person is off sick the trucks leave late and kerbside rounds are guessed at. Missed streets follow.

Missed bins are argued afterwards

A wheelie bin is blocked by a parked car or left out late, and the driver moves on. The customer reports it a day later, and no photo or record settles the argument.

Skips drop out of the yard count

Skips and roll-off containers stay on building sites for weeks. By the next hire the spreadsheet is wrong, and nobody can say where a given 8-yard skip is.

Weighbridge slips are keyed in late

Tickets print on paper at the weighbridge and travel to the office in a cab, and one mistyped gross or tare weight can reach an invoice. Disputes over tonnage then cost a customer.

Disposal paperwork sits in separate files

Facility receipts, waste transfer notes and carrier licence details are filed by truck or by month. An audit or a duty-of-care query means searching all of them. Hazardous loads add a second pile.

Invoices are built from several price sheets

Lift charges, per-tonne gate rates, container hire and recyclate rebates are held apart. Accounts staff add them up by hand for every customer, and a missed hire day goes unbilled.

How it runs

How the work flows through it, step by step.

  1. 1

    Customer set-up

A customer is opened with collection addresses, container types, bin sizes, pickup days, contract terms and rates by material, so the first route already prices correctly.

  2. 2

    Route planning

Dispatchers build routes by day and truck from the customer list, assign front-loader, rear-loader or hook-lift vehicles, and add on-call hauls as requests arrive.

  3. 3

    Collection

Drivers open the day’s route on a phone, record each lift, flag contaminated, missed or overfull bins and attach photos. Lifts show on the dispatcher’s map as they happen.

  4. 4

    Weighing and tipping

Loaded trucks cross the weighbridge, and the ticket records gross, tare and net weights. The tipping facility’s receipt joins the load, with the waste code and the gate fee.

  5. 5

    Billing

Lifts, tonnes and container hire days are priced from the customer’s own rates and raised on a single invoice. Fuel surcharges and contamination fees are added as separate lines.

  6. 6

    Compliance and review

Transfer notes, receipts and stream records are filed to the load. Managers then read volumes by route and customer, and compare recycling tonnes with general waste tonnes.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Customer accounts and sites

Hold each customer with collection addresses, access notes, gate codes, pickup days, contacts and contract terms, so a driver who has never visited a site knows how to reach the bins.

Container and bin register

Give every skip, wheelie bin and compactor its own record with type, size in cubic yards and current site, so the yard count matches the ground and idle hire is seen.

Route planning

Build routes by day, truck and driver, and rearrange stops when a truck is off the road. Rural runs and town rounds are kept as separate templates.

Driver phone app

Drivers see the day’s stops, record lifts, misses and overfull bins, and attach a photo from the kerb. A cab with no signal keeps the lift log and uploads it on the next connection.

On-call hauls and container swaps

Book skip deliveries, swaps and collections as customers ask, and place them on the next suitable truck. A swap closes the old hire and opens the new one.

Weighbridge tickets

Record gross, tare and net weights for each load, with truck, driver, material, waste code and the facility that accepted it. Tickets are saved as images alongside the figures.

Disposal receipts and transfer notes

File facility receipts, waste transfer notes, carrier licence copies and consignment notes against the load, and keep hazardous and clinical streams apart from general and inert waste.

Rates by material

Hold a lift price, a tonne rate, a hire fee and a rebate per customer and material, with the date each rate began. Past invoices keep the rate they used.

Invoices and statements

Raise invoices that carry lifts, tonnes, container hire and surcharges together, in the currency and tax settings of each country. Statements list open items by invoice date.

Collections and reminders

List overdue accounts by age, and send reminders to the customer contact who pays the bill. Disputed lifts are put on hold with the driver’s photo attached.

Fleet servicing and inspections

Track service dates, daily walk-round checks, tyre and hydraulic work, tail-lift inspections and licence expiry for every truck in the yard, with defects raised as jobs.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Vehicle and Trip Management

Each truck’s day is a route of stops, and the trip closes with the loads carried, the driver and the distance run.

  • Service Reports and Proof of Visit

Drivers record every lift with a photo from the kerb, so a blocked or overfull bin has a dated note behind it.

  • Fixed Asset Register

Every skip and bin is tagged, sized and placed at a customer site, and a swap moves it from one address to another.

  • Price Lists and Schemes

A customer holds its own lift price, tonne rate and hire fee, so the invoice picks the right figure without a lookup.

  • Invoice Management

Lifts, tonnes and container hire from one customer are priced and printed together, with tax lines set for the country concerned.

  • Collections and Payment Follow-Up

Accounts are aged by customer, and the person who pays the bill receives a reminder until the invoice is cleared.

  • Service Reminders

Servicing, tyre checks and licence dates for each truck come up as lists before the yard manager needs them.

  • Document Management

Facility receipts, transfer notes and licence copies attach to the load they belong to and can be found by customer or date.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the dispatcher

See every route, truck and on-call request for the day, and move stops when a truck or driver drops out. Overrunning rounds turn amber.

For drivers

Open today’s stops on a phone, mark lifts and misses, take photos of blocked bins and see which container goes where.

At the weighbridge

Weigh each truck in and out, record the material, waste code and facility, and print or file the ticket. Repeat hauliers are picked from a list.

In accounts

Match tickets and lifts to customers, raise invoices, apply surcharges and chase accounts that are overdue, with a driver’s photo at hand for any dispute.

For compliance and the owner

Read volumes by material and facility, find any receipt or transfer note in seconds, and see where the fleet stands on servicing, walk-round defects and licence renewals.

Reports

The numbers the owner asks for.

  • Lifts and misses by route, driver and bin type
  • Tonnes by material, waste code, customer and facility
  • Skips and bins out by customer and days on site
  • Revenue by customer, charge type and recyclate rebate
  • Disposal receipts and transfer notes still outstanding
  • Fleet services, walk-round defects and inspections due
Good fit

Who this is built for.

  • Residential and commercial collection firms
  • Skip hire and roll-off container operators
  • Recycling collectors that keep separate material streams
  • Building site waste haulers
  • Companies with a private weighbridge or transfer yard
  • Operators running several depots
Honest answer

When it is not the right choice.

  • A single-truck operator with a few regular customers can manage with a route sheet and an invoice book.
  • A landfill or processing plant that mainly receives loads needs gate and inventory software beyond this product.
  • A firm whose main work is hauling freight will find Truck and Trailer Company Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Materials and rates

Waste streams, container sizes and rate types follow your own price list, line by line.

Routes and depots

Routes, trucks and drivers are set up per depot, while every site shares one customer list.

Customers and containers migrated

Customer lists, addresses and container counts arrive from your sheets or your current software.

Weighbridge connection

Tickets are keyed in at the office or imported from a file your weighbridge software exports. The method is agreed with you.

Documents and regulation

Transfer note and licence fields follow the forms your regulator expects, reviewed with your compliance officer during implementation.

Common questions

Questions owners ask before a demo.

Is it for collection firms or for disposal sites?

For collection and haulage firms. It follows lifts, loads and invoices. A landfill, transfer station or materials recovery plant with its own gate needs different software.

Can drivers work where the signal is weak?

Yes. Lifts can be entered after the stop and sent when the phone reconnects. A supervisor can also enter a whole route afterwards from the driver’s run sheet.

How are skips and bins tracked?

Each skip and bin has a record with its type, size and current site. A swap or collection moves it and starts or stops the hire charge on the same day.

Can different materials carry different charges?

Yes. One customer can hold a lift price for general waste, a tonne rate for inert waste and a weekly hire fee for a skip.

Does it produce transfer notes?

It holds the fields for each load and prints them on a note, with the carrier, waste code and tonnage. The layout your regulator expects is reviewed during implementation.

What about hazardous waste?

Hazardous loads are a separate stream with their own notes, documents and checks. Your compliance officer decides which forms apply.

Can we move our customer list from a spreadsheet?

Yes. Addresses, pickup days, bin sizes and container counts are imported, and the dispatcher walks the list against yesterday’s run sheet before the first route goes out.

Who holds the weighbridge records?

The firm owns every ticket and receipt. A spreadsheet export of loads, weights and invoices can be asked for at any time, with the images of each weighbridge slip.

What does it cost?

Cost depends on trucks, depots and weighbridge set-up, so no figure is printed here. The first step is a session with your dispatcher on live routes, after which you get a quote on paper.

Do we need it for a small fleet?

Maybe not yet. With a few trucks and regular customers, route sheets and a spreadsheet can carry the work. Container hire and weights are where paper fails first.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
