What goes wrong before the software.

Bookings and walk-ins are tracked separately

Appointments sit in a diary or on a phone, and walk-ins wait on a bench. A stylist can be promised to two clients for the same hour.

Colour formulas live in memory

The shade and developer mixed for a client last time is known only to the stylist who did it. When that stylist is off or has left, the mix is guessed again.

Commission is counted by hand

Stylists note their own services in a book and the owner counts from the bills. Month end brings an argument over which list is right.

Colour and product stock is not matched to use

Tubes, developer and shampoo go from the shelf without a record. Retail sales are rung up but not taken off stock.

Regulars drift away unnoticed

A client who came every month has not been seen for three. The register has no way to show it, so nobody phones.

Prepaid cards and advances are on paper

A grooming card, a staff advance and a part payment are each in a different notebook. The balance is whatever the last person wrote.

How it runs

How the work flows through it, step by step.

    Booking or walk-in

    An appointment is booked by phone or message against a stylist and a time. A walk-in is given a token and joins the queue for the next free chair.

    Arrival

    Reception opens the client’s record, which shows past services, the last colour mix, any patch test and the prepaid balance.

  3. 3

    Service at the chair

    The stylist is assigned and the services are marked as done. A colour service saves the shade, developer and timings against the client.

    Billing

    One invoice covers services and any shampoo or serum sold. The client settles in cash, over UPI or on a card, or the amount is drawn from a prepaid card.

    Month end

    Services completed by each stylist, attendance and advances come together so commission and salary can be settled.

    Follow-up

    Clients due for a colour touch-up or a trim are listed. A reminder goes over WhatsApp or SMS.

Common questions

Questions owners ask before a demo.

Can clients book themselves online?

No. Appointments are taken by the front desk, by phone or message, and walk-ins join the token queue. A booking page or link that clients use themselves is separate work.

Can it remember a client’s hair colour mix?

Yes. The shade, developer ratio and timings are kept on the client’s record, and the next stylist can read them before the service starts.

How does it handle walk-ins alongside appointments?

Walk-ins get a token and join a queue. Booked clients sit on the stylist calendar. Reception reads both before giving anyone a time, so the same chair is not promised twice.

Does it calculate stylist commission?

Yes. Commission follows the services each stylist completed, using the rates you set. It runs in a phone browser, so a stylist can check the month’s earning between clients.

Can colour and product stock be tracked?

Yes. Retail products are reduced at billing, and colour and developer are counted against the colour services done. Reorder levels are set with you.

Does it send reminders, and will that stop no-shows?

Reminders for an appointment go out by WhatsApp, text message or email, which is the part software can do. Whether the client turns up is not something we promise, and no booking deposit is taken here. A WhatsApp Business account is set up with you for the messages this software sends.

Is there a Tally link?

Not by default. Sales and commission reports remain available in GullySystem for your accountant. A Tally export can be priced separately once its contents are confirmed.

Can we sell gift vouchers or run loyalty points?

No. Grooming cards and service packs are sold and drawn down visit by visit, and that is as far as it goes. A gift voucher series or a points scheme would be separate work.

Who owns the client list?

You do. How the records leave with you is spelled out in the proposal before work begins.

Do we need this for a two-chair salon?

Probably not yet. With no commission to work out and no colour records to keep, a diary and UPI will do. A free technology audit can say so plainly.
