Billing and Payments for Hair Salons and Barbershops

One invoice covers the services a client had and any product taken home. The counter records discounts and whether the client paid in cash, through UPI or with a card, and the stylists’ work is attached to the bill.

What goes on the invoice

The invoice is built from the appointment, so the front desk confirms rather than retypes. Services completed by each stylist are already listed. Products come from a quick pick or a barcode scan.

Services

Each service appears with its price from the menu and the name of the stylist who did it. A client who added a beard trim at the chair sees it on the bill, and the extra time is already on the calendar.

Retail products

A shampoo or serum sold at the counter is added to the same invoice. Stock goes down as the bill is saved.

Discounts

A discount is entered as an amount or a rate, with a reason stated at the counter. The owner decides which roles at the front desk may give one, and the manager can review every discounted bill when the counter closes.

Tax

GST is applied according to the treatment the salon’s accountant has set for services and for products.

Taking payment

A bill can be paid in one go or split. A client may pay part by UPI and the rest in cash, or use a prepaid card for the services and pay cash for a product. Each mode is recorded on the invoice. The day’s cash and UPI totals read from the same entries.

At the end of the day

  • Takings by cash, UPI and card are listed for the counter.
  • Bills with a discount can be reviewed by the manager.
  • Part payments and amounts still due appear by client.
  • Each stylist’s services on the day are ready for commission.

What the client confirms

The software does not file GST returns or settle card payments with a bank. The invoice format, tax rates and numbering are confirmed with the salon’s accountant before go-live. A link to Tally is separate work and is quoted during set-up if needed.

Frequently asked questions

Can one bill be paid partly by UPI and partly in cash?

Yes. Each part is recorded with its mode, and both appear in the day’s takings.

Does a stylist’s name appear on the invoice?

Yes, against each service. That is how commission is attributed to the right person, and it also tells the client which stylist did the work on that visit.

Can a bill be edited after it is issued?

Only by a role the owner permits, and the change is logged with the person and the reason. Many salons allow corrections on the same day and nothing later than that.

Can a client pay from a prepaid card and in cash together?

Yes. The card balance is reduced for the services, and the cash for any product is recorded beside it.

Does it print a bill for the client?

It prints or shares an invoice as a PDF. The printer and layout are confirmed during scoping.
