Client Hair History for Hair Salons and Barbershops

Each client has a profile with past services, hair notes, preferred stylist and products bought. Reception opens it at arrival, and the stylist reads it before the first cut.

What the profile holds

The profile is built from what the salon already does. Services and products appear from bills, so nobody types them twice.

Service history

Every cut, colour and treatment is listed with its date and the stylist who did it. A client who asks for the same style as last time gets it without a long conversation at the chair.

Hair notes

Scalp sensitivity, hair type, a preferred parting or a request to avoid certain products can be written as a short note.

Preferred stylist

The client’s usual stylist is on the profile. Reception can book that person first.

Products bought

Shampoo or serum taken home is listed, so a reorder can be offered at the next visit.

When a stylist is away or leaves

Another stylist can take over the client with the history in front of them, and the new stylist starts from the record. A resigned stylist’s clients are not lost with her, because the notes stay with the salon.

Finding clients who have gone quiet

The last visit date lets the front desk list clients who have not come in for a while. Names can be called or sent a message. Which clients count as quiet depends on the service, since a trim and a colour touch-up have different gaps between visits.

What the profile does not do

It holds hair and visit notes. Medical records, scalp treatment prescriptions and dermatology charts belong with a clinic. Staff add a note only when it is worth remembering, and the owner decides who may read or edit notes.

Can a client’s profile be moved from our register?

Yes. Names, phone numbers and last visit dates are brought in, and the front desk reads through them on screen before opening day.

Is a client’s phone number visible to every stylist?

Not unless the owner allows it. Visibility of contact details follows the role set for each person.

Can a barbershop keep a profile for a regular?

Yes. A regular’s usual cut, beard style and preferred barber are kept on the same kind of profile.
