Memberships and Prepaid Cards for Hair Salons
A grooming card or service pack is sold once, and each visit is taken against its balance. Reception sees what is left when the client arrives, and the owner sees cards that are about to lapse.
What a card records
Every card is sold against a client and a set of services or an amount. The record shows the money taken at sale and each use after that.
At the counter
A client with a card has the balance shown at billing. Choosing the card reduces it, and the bill still lists the services and the stylist, so commission is not affected by how the client paid. Part-card, part-cash bills are allowed. The balance stays correct either way.
What the owner can review
- Cards sold in the month and the money taken at sale.
- Balances outstanding by client.
- Unused visits on cards that lapsed.
- Clients who bought a card and have not returned.
What is for the accountant
How money taken for a card appears in the salon’s accounts is for the salon’s accountant to decide. The software records the sale and each use and leaves the accounting treatment alone. Card terms, such as validity, are decided by the owner.
Frequently asked questions
Can we sell a monthly plan to a barbershop regular?
Yes. A plan for a set number of haircuts or shaves is recorded like any other pack and used up visit by visit.
Can a card be used by two family members?
Just when the owner has switched that on. Sharing is a salon rule, and the card can be linked to more than one client profile.
Do existing card balances come across from our register?
Yes. Balances are brought in at set-up, and the front desk checks each against the paper record before go-live.
