Personal Services · Funeral Home Management Software

One careful record for each case, from first call to final account.

Manage first calls, case records, family contacts, arrangements, statements of goods and services, services, chapel and vehicle bookings, documents, merchandise, payment plans and pre-arranged plans in one system. From the first call to the final receipt, one case holds the person’s details, the service schedule and the family’s account. Directors and office staff read the same record.

  • Price list, packages and statement layout entered as you use them
  • Open cases, balances and pre-arranged plans migrated
  • Changes to prices and checklists handled by GullySystem staff when asked

GullySystem configures this software for funeral homes, which hold first calls, arrangements, statements, service schedules, documents and family accounts in one place. A case record carries the person’s details, the family contacts, the chapel and vehicle bookings and what is owed. Merchandise and pre-arranged plans sit on the same system. Roles limit who sees each case.

Where it breaks today

What goes wrong before the software.

First-call details are copied by hand

A name, a date and a contact are written on a pad, then typed into a diary, a form and an invoice. Every copy is a chance for error.

Chapel, vehicles and staff are booked apart

The venue sits in one diary and the vehicles in another. Two services close together can clash without anyone seeing it coming.

Statements change through the arrangement

A family adds a notice, flowers or a longer service. Without revisions, the total they agreed to becomes unclear.

Documents come from several offices

Certificates, permits and authorisations arrive at different times. Only whoever filed the paperwork knows what is still missing on a given case.

Stock is counted by eye

Caskets and urns sit in a store room with no running count. A gap shows up only after a family has chosen.

Pre-arranged plans are hard to find

A plan made years earlier sits in a file with its payments. When it is needed, its terms take time to locate.

How it runs

How the work flows through it, step by step.

  1. 1

    First call

The on-call director records the person’s details, the family contact and where the person is being cared for, and a case opens.

  2. 2

    Arrangement

The director meets the family, lists the choices from the price list and produces a statement of goods and services for approval.

  3. 3

    Documents and notices

Required certificates and permits are tracked as received or missing, and notices are drafted from the case details.

  4. 4

    Service schedule

The venue, vehicles, drivers, bearers and celebrant are booked against the service date and time.

  5. 5

    Service and care

On the day, staff see the plan for each person, the order of events and who is responsible for each step.

  6. 6

    Account and follow-up

The final statement is issued, payments or instalments are recorded, and a thank-you and any aftercare note are sent.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Case record and first call

Record the first call, the person’s details and the family contacts once. The same record follows the case to the final account.

Arrangement and statements

List the family’s choices from your price list, produce a statement of goods and services and keep each revision after a change.

Service, chapel and room schedule

Book the chapel, rooms and celebrant on one calendar against the service date, so that two services never claim the same space.

Vehicles and drivers

Assign hearses, family cars and drivers to each service and transfer, with the route and times shown to the crew.

Documents and authorisations

Track each certificate, permit and consent against the case, and see what has arrived and what is still outstanding.

Merchandise and supplies stock

Record caskets, urns and supplies received, reserved for a case and used, with reorder levels for items you stock.

Invoices, payments and plans

Issue the final invoice, take part payments or set an instalment plan, and give the family a receipt for every amount received.

Pre-arranged plans

Hold each plan with its terms, wishes and payments, so it can be opened and acted on when the time comes.

On-call rota and staff hours

Build the on-call rota for directors and drivers, and record hours worked on each case and shift.

Family messages and notices

Send confirmations, service details and thank-you notes to the family, and draft notices from the case record.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

The family and the contacts around the person are kept as linked records, so a phone number is changed once and shows everywhere.

  • Estimate/Quotation Management

The statement of goods and services is built from the price list during the arrangement, and each revision after a change is kept.

  • Resource and Room Booking

Chapels, reception rooms and the celebrant sit on one calendar, which stops two services being booked into the same space at once.

  • Vehicle and Trip Management

Each transfer and procession is a trip with a vehicle, a driver, a route and a time that the crew can read in advance.

  • Document Management

Every certificate, permit and consent is filed against its case, with the missing ones listed so staff know what to chase.

  • Stock Tracking and Alerts

Caskets, urns and supplies are counted as they arrive, are reserved to a case when chosen and raise a reorder alert at a set level.

  • Receipts Management

Each part payment or instalment is posted to the family’s account, and a receipt is issued so both sides hold the same balance.

  • Contract Management

A pre-arranged plan is held as an agreement with its terms, wishes and payments, and can be found quickly when it is needed.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For funeral directors

Open a case, hold the arrangement, see documents outstanding and follow the service from first call to account.

For office staff

Prepare statements and invoices, take payments, post receipts and chase missing documents.

For drivers and crew

See their own transfers and services, the times and the venue, and mark each task complete.

For owners and managers

Read cases by status, balances outstanding, merchandise used and plans held, across every branch.

Reports

The numbers the owner asks for.

  • Cases opened and completed by period
  • Statements issued and approved
  • Documents outstanding by case
  • Chapel and vehicle use by week
  • Balances outstanding and payment plans
  • Merchandise used and stock on hand
  • Pre-arranged plans held and payments due
Good fit

Who this is built for.

  • Family-run funeral homes with one or two directors
  • Firms with several branches and a shared fleet
  • Funeral homes that hold chapels or reception rooms
  • Operators that sell pre-arranged plans
  • Cremation and burial service providers that arrange transport and ceremonies
Honest answer

When it is not the right choice.

  • One director arranging a handful of services each month will do well enough with a paper diary and a tidy filing cabinet.
  • Cemetery or crematorium operators whose main work is plot or niche management will find a facility or land record system closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your price list and packages

Caskets, services and packages are keyed in under your own names, and the statement is laid out as families see it today.

Case checklists

Document lists and steps for burial, cremation and other services are set with you, and reviewed against your local rules during implementation.

Privacy and access

Roles decide who may open a case, and an audit trail records who viewed or changed it. How long closed case files are kept follows your own retention rules, which we record at configuration.

Currency and tax settings

Your accountant confirms the currency, the tax wording on each invoice and the rounding rules, and these are configured before the first statement is issued.

Open cases migrated

Cases still open, their balances and any pre-arranged plans are brought in from your folders or a spreadsheet.

Hosted by GullySystem

Every branch reads one shared set of records, kept on servers that GullySystem runs. Changes to prices and checklists come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Can it manage both burial and cremation cases?

Yes. The case record holds the type of service, venue and the documents that service needs. Checklists are set with you and reviewed during implementation.

How is a family’s information protected?

Each person sees only the cases their role needs, and a log names whoever opened or edited a file. Local privacy law is checked against this setup.

Can we produce our own statement of goods and services?

Yes. Your price list and layout are entered once, and each statement is built from them. Revisions are kept, so the earlier figure is not lost.

Can it schedule chapels, vehicles and staff together?

Yes. A service books the venue, vehicles, drivers and celebrant on one calendar. Clashes between two services are visible before they happen.

Does it handle payment plans?

Yes. A balance can be split into instalments, each with a due date and a receipt. Which plans are allowed depends on local rules, reviewed during implementation.

Can we hold pre-arranged plans?

Yes. Each plan keeps its terms, the wishes recorded and the payments made. Rules on trust accounts and insurance products vary by country and are not built in.

Does the on-call director need to be at the office to open a case?

No. On-call directors and drivers open their own cases and transfers in a mobile browser and tick off each task. A connection is needed.

Can existing cases be moved?

Yes. Current case files, balances and plans come in from your folders, and a senior director compares a sample against the originals before the first live case.

Who owns the data?

You do. The quotation sets out how case files and price lists are returned to you on request.

What does it cost?

No price is published. The figure depends on users, branches and configuration. We begin by walking through sample arrangement files, and the quotation then gives your figure.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
