Personal services · Software for funeral homes

Keep every arrangement, service and family account on one careful record.

Funeral home software holds each family’s arrangements, documents, service times, vehicles and statement in one place. Directors see what is promised and what is owed. Staff on call see where each person in their care has reached, and what happens next.

At a glance

A funeral home works with families on the hardest days of their lives, and the work has to be right the first time. Names, dates, venues and wishes cannot be corrected later. Care comes first.

Most firms spread this over paper files, a shared diary, a price list and an accounting package, each looked after by a different person. A GullySystem set-up brings them together. One case record carries the person, the family, the service, the documents and the account.

How the work runs today

A call arrives at any hour. The on-call director records the first details, arranges the transfer and notes where the person is being cared for. The next day, the family comes in for an arrangement conference. The director lists the choices: burial or cremation, the venue, the date, the notices, the flowers, the merchandise and the transport. A written statement of goods and services follows, and the documents, permits and certificates are gathered for the authorities to review.

On the day of the service, drivers, bearers, the chapel and the celebrant all have to be in place at the right time, and the family should never see a gap. Afterwards the office issues the final statement and collects the balance or follows a payment plan. Thanks go to the family. Many firms also sell pre-arranged plans, which sit on the books for years and must be found quickly when a need arrives.

Where it breaks

What goes wrong for funeral homes without a proper system.

Case details are written more than once

A name, a date and the family’s wishes are copied again and again, from the first call into the diary, the paperwork and the invoice. One slip is hard for a family to forgive.

Rooms, vehicles and staff are booked separately

A chapel, a hearse and a celebrant are booked in different places, often by different people on different days. Two services close together can leave one short.

Statements change and the old version is lost

A family adds flowers, a notice or a longer service. The price list is updated by hand, and the total they agreed to is no longer clear.

Documents are chased by phone

Certificates, permits and authorisations arrive from several offices. Which are still missing for a given case is known only by whoever filed them.

Pre-arranged plans are filed and forgotten

Plans taken years ago sit in a cabinet with their payments. When a need arrives, finding the terms takes time that the family does not have.

What the software does

What we would build for funeral homes.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Case record and first call

Record the first call, the person’s details and the family contacts once. The same record follows the case through every later step.

Arrangement and statement of goods and services

List the family’s choices from your price list and produce a written statement of goods and services. Every change is kept as a revision, so the total is never in doubt.

Services, chapel and vehicle schedule

Book the chapel, rooms, vehicles, drivers and celebrant on one calendar, so that two services never claim the same resource and a clash is visible days before it can happen.

Documents and authorisations

Track each certificate, permit and form against the case, with a plain list of what has arrived and what is still missing. Nobody has to ask who filed it.

Merchandise and supplies stock

Record caskets, urns and supplies received, reserved for a case and used, with reorder levels for what you keep.

Account, payment plans and receipts

Issue the invoice, take payments or set an instalment plan, and give the family a receipt for each amount received. The balance is always clear.

Pre-arranged plans

Hold each plan with its terms, payments and the wishes recorded, ready to open when it is needed.

Before you talk to a supplier

A requirements checklist for funeral homes.

What to cover, which reports to ask for and what to put to every vendor, ready to print or save as a PDF.

Common questions

Questions funeral homes ask before they call.

Is the family’s information kept private?

Staff open only the parts of a case their duties call for. Every viewing or change to a case is logged against a name. Your privacy obligations are reviewed during implementation.

Can it handle both burial and cremation services?

Yes. The case record carries the type of service, the venue and the documents each one needs. The checklists are set up with you during implementation.

Can we manage prices and statements in our own format?

Yes. Your price list, packages and statement layout are entered as you use them today. Your local tax rules and the disclosure wording required of a funeral price list are worked through with you before launch.

Does it suit a small, family-run home?

Yes, where more than one person touches a case. A single director handling a few cases a month may find a good diary and a filing system enough.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
