GullySystem
Personal Services · Dog Training Business Management Software

One connected system for classes, private sessions, packages, waivers and progress notes.

Manage a dog training business in one system. Group classes, private sessions and board-and-train stays are booked against trainers and spaces. Each dog has a record with its owner, vaccination papers, signed waiver and session notes. Packages are counted down, homework is shared with owners, and trainer pay follows the sessions taught.

  • Classes, packages and venues set up to mirror how you sell
  • Client and dog list migrated from your diary or spreadsheet
  • Class and package edits made by GullySystem staff on request

Independent dog trainers and training schools use this system, provided by GullySystem. Owners, trainers and the office all use it. Each dog has a record with vaccination papers, waiver, session notes and homework. Classes, private sessions and stays are booked against trainers and venues, and packages count down as sessions are used.

Where it breaks today

What goes wrong before the software.

Session credits are argued over

A client buys a block of sessions, skips a fortnight and remembers a different count from the trainer. A paper tally settles nothing.

Vaccination papers are unchecked

Certificates arrive as photos in a message thread. Expiry dates are read only when a venue or kennel asks.

Class lists and payments are kept apart

The sheet shows who attended. The ledger shows who paid. Waiting lists sit in a third place.

Notes and videos are scattered

Progress is in a notebook, clips on a phone and homework in a chat. A second trainer starts from very little.

Waivers are filed on paper

A signed waiver covers handling and risk. When a dispute arises, finding the right sheet takes a search through folders.

Assistant pay and venue hire are guesswork

Who taught what, where and for how long is recalled at month end, and the figures are questioned.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

An owner contacts the school by phone, form or message. Dog age, breed, history and the problem to be solved are recorded.

  2. 2

    Assessment

A first session is booked. Papers and a signed waiver are collected, and the trainer proposes a class, a private block or a stay.

  3. 3

    Booking and package

The owner joins a class term or buys a block of sessions. Payment is taken in full or in instalments.

  4. 4

    Sessions

Each session is marked as attended against the package. Notes, homework and short clips are added by the trainer.

  5. 5

    Progress

Owners read notes and homework in a portal. The plan is adjusted, and the office sees credits remaining.

  6. 6

    Renewal

Owners near the end of a package are listed for an offer of the next course. Annual papers are checked at the same time.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Owner and dog records

Keep the owner’s contacts with each dog’s breed, age, vet, history and behaviour concerns on one file.

Class and session calendar

Book group courses, private sessions and home visits against trainers and venues, with waiting lists and make-up weeks.

Board-and-train stays

Book residential stays with dates, kennel or room, feeding and medication notes, and daily updates for the owner.

Packages and session credits

Sell blocks of sessions with expiry dates, count each one used, and show remaining credits to owner and trainer.

Vaccination records and waivers

Store certificates with expiry dates and signed waivers on the dog’s record, and flag lapsed cover before a class.

Session notes and homework

Record what was practised, set homework and attach clips, so any later trainer can see the plan.

Owner portal and booking page

Let owners book, pay, view homework and download receipts from a page of their own.

Invoices and instalments

Bill packages and instalments, take payments and print receipts, with each owner’s balance shown at the desk.

Trainer pay and venue hire

Work out assistant pay and venue hire from the sessions actually taught, ready for month end.

Reminders and messages

Send class reminders, renewal offers and certificate warnings by email, SMS, WhatsApp or other messaging.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

Group courses, private sessions and home visits are booked against trainers and venues, and a cancelled place is offered to the next dog on the list.

  • Online Booking Portal

Owners pick a class or a private slot on a page of their own and pay at booking, so the desk does not take every call.

  • Client Portal

Each owner signs in to see homework, credits remaining, past receipts and the notes the trainer chose to share.

  • Document Management

Certificates and signed waivers are filed on the dog’s record, with expiry dates that raise a flag before the next class.

  • Invoice Management

Packages and instalments are billed from the booking, and the desk can read each owner’s balance without opening a ledger.

  • Commission and Incentives

Assistant trainers’ pay and venue hire are worked out from the sessions each person taught, using the rates you have set.

  • WhatsApp, SMS and Email Notifications

Class reminders, renewal offers and warnings about expiring papers go out by the channel each owner prefers.

  • Resource and Room Booking

Kennels, rooms and halls are held against a stay or class so two dogs are never promised the same space.

At the front desk

Handle bookings, waiting lists, waivers, papers, payments and renewals.

For owners

Book sessions, read homework, see credits remaining and pay invoices from a portal.

Reports

The numbers the owner asks for.

  • Classes filled and waiting lists
  • Packages sold, used and expiring
  • Balances due by owner
  • Dogs with papers expired or due
  • Sessions taught by trainer
  • Venue hire by month
  • Renewals offered and taken
Good fit

Who this is built for.

  • Independent trainers who work one to one
  • Training schools with group classes and several trainers
  • Board-and-train businesses with residential stays
  • Behaviour consultants who see dogs and owners at home
  • Puppy class providers attached to a vet or a shop
Honest answer

When it is not the right choice.

  • A trainer with only a few clients is fine with a diary and a payment app.
  • A kennel that only boards dogs will find a boarding product fits better than this one.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your classes and packages

Courses, terms, session blocks and prices mirror how you advertise them to owners.

Waiver and paper wording

Your own waiver and checklist are used. Their wording is for your advisers to settle.

Clients and dogs migrated

Owner lists, dog details and open packages arrive from your diary or spreadsheet.

Currency, tax and language

Fees are charged in your own currency, and sales tax on classes follows your country’s rules, confirmed with you at rollout.

Hosting and changes

The system is hosted by GullySystem, and its staff change class types and packages whenever you request it.

Common questions

Questions owners ask before a demo.

Is it built for dog trainers or for pet businesses in general?

Dog trainers. Classes, packages, waivers and homework are the centre of it. A grooming or boarding business has different needs and may suit another product.

Can it handle group classes with a waiting list?

Yes. Each class has a set number of places, and owners beyond that join a list. A cancellation offers the place to the next in line.

How are session packages counted?

Each attended session is marked against the package. The owner and trainer both see how many remain and when the package expires.

Can owners see homework and progress?

Yes. Notes, homework and clips are shared in a portal, and the trainer chooses what each owner sees.

Does it track vaccination dates?

Yes. Certificates are stored with their expiry dates, and a dog with lapsed cover is flagged before a class. What cover you require is your decision.

Can we take online payments?

Yes, through the gateway you already use where it is supported in your country. This is confirmed during implementation.

Can it work out what assistant trainers are owed?

Yes. Pay follows the sessions each trainer taught, using the rate you set. Any tax treatment is for your accountant.

Can our client and dog list come with us?

Yes. Owners, dogs and part-used packages are loaded from a spreadsheet or your existing software, and you read through the list before the first class.

Who owns the data?

You do. Records can be exported, and how long you keep certificates and waivers follows the rules where you work.

What does it cost?

No price is published. Trainers, venues and the way the system is configured decide the figure. A demonstration comes first, and a quotation follows it.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
