GullySystem
Manufacturing · Industrial Repair Management Software

One system for incoming items, teardown reports, quotes, repairs and returns.

Run repair intake, teardown findings, quotations, customer approvals, stores, outside machining, bench tests, dispatch and invoices from a single system. Each motor, pump or gearbox has its own job record from the gate to the return. Inspection, estimating and repair all draw on that record, so the customer receives one clear figure.

  • Item types, repair stages and test sheets configured to your shop floor
  • Customer lists, open jobs and unpaid invoices brought across at launch
  • GullySystem revises stages, test formats and part catalogues on request

Industrial repair workshops handle receiving, teardown reports, quotations, approvals, parts, bench tests and invoices here, with GullySystem configuring the stages to match your bays. Every motor, pump or gearbox gets a job record that follows it from the gate to dispatch. Accounts, inspectors, estimators and technicians all open the same job card.

Where it breaks today

What goes wrong before the software.

Items arrive without clear identity

Several units of one make often arrive together from the same plant. A missing tag at the gate means parts and findings are filed against the wrong machine.

Findings are rewritten into quotations

The inspector writes by hand, the estimator types it again, and the customer waits while a line is stopped. Each day costs money.

Approval is a phone call

A figure is agreed in conversation. When the invoice arrives, the customer disputes it. The workshop cannot show what was agreed.

Parts and outside work are charged late

Bearings, seals and winding wire leave stores, and machining is bought outside. The true cost of a job appears after the invoice has gone. It is too late to adjust.

Test readings are lost

Bench results go into a notebook or a loose sheet. A returned unit has no proof of how it performed when it left. That weakens the workshop’s case.

Customers chase for status

Plants ring to ask where an item is. Someone walks to the bay to look. The office has no answer at the desk.

How it runs

How the work flows through it, step by step.

  1. 1

    Receipt

The gate clerk books the item in with its make, model, serial number, nameplate data, condition and photographs, then tags it.

  2. 2

    Inspection

An inspector strips the unit, measures wear and records findings part by part, with the likely cause of failure.

  3. 3

    Quotation and approval

The estimator prices parts, labour and machining from the findings. The customer approves, queries or scraps the unit, and the response is recorded.

  4. 4

    Repair

Technicians work through strip, repair, machining, assembly and balancing. Parts come from stores, and outside work is sent as job work.

  5. 5

    Test and dispatch

The unit is tested on a bench and readings are saved. A certificate is printed if the customer wants one, and the unit is packed and returned.

  6. 6

    Invoice and history

The invoice follows the approved quotation. The full record stays with the unit. It is there the next time it arrives.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Receiving and job tagging

Book in each item with nameplate data, condition and photographs, print a tag and issue a job number.

Teardown reports

Log each part’s wear with measurements, photographs and probable cause, so the quotation rests on what was found.

Quotations and approvals

Price parts, labour and machining from your lists, keep each revision, and record who approved the work and when.

Repair stages and bays

Move jobs through strip, repair, machining, assembly and test, and see which bay and technician hold each one.

Technician time and work

Record the hours each technician spends on a job so labour cost is known when the job closes.

Parts and stores

Receive bearings, seals, winding wire and fasteners, issue them to jobs and reorder what is running low.

Outside work and vendors

Send machining, plating or rewinding to outside shops as job work, track the return and add the charge to the job.

Test records and certificates

Hold bench readings against each unit and print a test certificate in the format your customer asks for.

Field repair calls

Schedule technicians and vehicles for repairs at a customer’s site, and log work done and parts used.

Dispatch and invoices

Pack and return the repaired item, invoice against the approved quotation and post receipts.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Job Cards

Each unit has a job card where the inspector records measured wear, parts to replace and the likely cause of failure.

  • Quote & Proposal Management

A quotation is priced from the teardown lines using your labour, machining and part rates, with every revision kept and the approval noted.

  • Work Order Management

A repair moves through strip, repair, machining, assembly and test, and the board shows which bay and technician hold it now.

  • Stock Tracking and Alerts

Bearings, seals and winding wire are issued to jobs as they are used, and low stock raises an alert before a repair stalls.

  • Job Work Management

Parts sent for machining, plating or rewinding leave on a delivery note with a return date, and their receipt adds the vendor charge to the job.

  • Quality Control

Bench readings are recorded against the unit after repair, and a certificate prints with the figures the customer expects.

  • Technician Scheduling

Site repairs are scheduled by technician, vehicle and day, and work done and parts used are logged on return.

  • Invoice Management

The invoice is raised from the approved quotation after dispatch, and any approved extra appears as a separate, labelled line.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See items in the workshop, quotes awaiting approval, job cost against the figure and balances by customer.

For gate and stores staff

Book in items, print tags, receive parts and issue them to jobs.

For inspectors and estimators

Write teardown findings, price repairs and record the customer’s decision.

For technicians

See assigned jobs, record time, parts and test readings from the bay.

For accounts

Invoice against approvals, post receipts and review job cost.

Reports

The numbers the owner asks for.

  • Items in the workshop by stage and age
  • Quotations awaiting approval or lapsed
  • Job cost against quoted figure
  • Repeat failures by make and model
  • Outside work sent and not yet returned
  • Parts used by job and parts below reorder
  • Balances by customer, oldest first
Good fit

Who this is built for.

  • Workshops that repair and rewind electric motors and generators
  • Shops that overhaul pumps, compressors and gearboxes
  • Hydraulic and pneumatic repair companies
  • Repair houses that also send technicians to customer sites
  • Machine shops that take repair work from factories and plants
Honest answer

When it is not the right choice.

  • A garage repairing cars and light vehicles will find Garage Management Software closer.
  • A one-person bench that takes a few repairs a week can run on a notebook and a template invoice.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your item types

Motors, pumps, gearboxes and cylinders each get fields for the nameplate data you record on arrival.

Your repair stages

Strip, repair, machining, assembly and test are set as your workshop names and orders them.

Quotation lists

Labour rates, machining rates and common parts are loaded, so quotations start from your own prices.

Test sheet formats

The readings you take and the certificate layout a customer expects are prepared during implementation.

Currency, tax and language

Invoices show your currency and tax rules, and customer messages use the language your plants expect.

Common questions

Questions owners ask before a demo.

How does a job keep its identity from the gate to the bench?

It receives a job number and a printed tag at the gate. Every inspection, part, test and invoice line is added to that record, not to a free-text note.

Can an estimator build a quotation from the teardown report?

Yes. The findings list each part to replace or repair, and the quotation picks prices for those lines from your lists. Revisions are kept.

What if the customer approves by phone?

The office records the approval against the quotation with the person’s name and the date. The approval can be tied to a purchase order number if one follows.

Can outside machining be tracked?

Yes. The part goes to the outside shop on a job work note with a return date, and the shop’s receipt and charge land on the original job.

Does it keep test readings for each unit?

Bench readings are saved on the unit’s record and can be printed as a certificate. The readings your customers ask for are agreed during implementation.

Can we repair on the customer’s site as well?

Yes. A field call has its own technician, vehicle and parts list, and it appears beside bench jobs on the same board.

What can we see about repeat failures?

A report lists returned items by make, model and customer, with the earlier findings, so a pattern in failed bearings or windings is easier to spot.

How are our current open jobs brought across?

Items still in the shop, pending quotations and unpaid invoices are read in from your files, and the office compares a few job records against the floor before the system takes over.

How is the demonstration run?

A sample motor is followed from the gate to the invoice, using the stages and papers your workshop uses. A written proposal follows once the stages are understood.

Who maintains it afterwards?

GullySystem hosts the software and answers support requests. Requests to change stages, test formats or part lists are handled as you raise them.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
