What goes wrong before the software.

Customers keep calling to ask if the car is ready

The service advisor has to walk into the bay, find the mechanic and ask. Meanwhile three more calls come in, and the customer who was promised five o’clock hears nothing until six.

The job card is a paper sheet with oil on it

Complaints, odometer and fuel level are scribbled at the gate. By billing time half of it is unreadable, and the customer disputes a scratch nobody noted when the car came in.

Parts go on the car but not on the bill

A mechanic picks up a filter or a bottle of brake fluid from the shelf and fits it. Nobody writes it down, so it is never billed, and the stock count stops matching the shelf.

The customer says he never approved the extra work

The estimate was ₹6,000, the bill is ₹9,500, and the approval was a phone call nobody logged. You either argue at the counter or write off the difference.

We only find out a part is out when the car is on the lift

Stock lives in the storekeeper’s memory. The job stops while someone rides to the spares market, and the delivery time you promised slips.

Regular customers drift to the next garage

Nobody reminds them when the next service, the insurance or the PUC is due. A few months later they are servicing somewhere else, and you never knew they were due.

How it runs

How the work flows through it, step by step.

  1. 01

    Booking comes in

    The customer books on your garage website or your receptionist enters a phone or walk-in booking. It records the vehicle, the complaint, the preferred date and time, and whether pickup or drop is needed.

  2. 02

    Vehicle received, job card opened

    When the car arrives, the booking converts into a job card. The advisor notes the odometer, fuel level, complaints and inspection findings, gives an expected delivery date and assigns the mechanics.

  3. 03

    Estimate and approval

    The advisor builds the estimate line by line: labour, parts, consumables and services, each with GST and any discount. When the customer approves, the screen records how: verbal, WhatsApp, written or online.

  4. 04

    Work and parts

    Parts are issued to the job card from stock, and the stock count drops as they go. If a part is short, the screen says how many are left before anyone opens the bonnet.

  5. 05

    Invoice and payment

    The approved estimate becomes the invoice, with every line copied across. Record full or part payment in cash, UPI, card or bank transfer, or mark it as credit for a fleet customer.

  6. 06

    Delivery and the next visit

    Marking the job delivered stamps the last service date on the vehicle and sets the next one due. Staff follow up from the reminders list, where each entry has a WhatsApp message ready to send.

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Job cards

One card per visit, with its own number, odometer reading, fuel level, complaints, inspection notes, estimated cost and delivery date. Its status runs from created through inspection, approval, work in progress and ready, to delivered.

Mechanic assignment

Assign one or more mechanics to a job card and a service advisor who owns it. Anyone at the counter can see who is on which car.

Estimates

Line items for labour, parts, services and consumables, each with quantity, price, GST and discount. Estimates can be shared, approved, rejected or revised, and the approval method is saved.

GST invoices and payments

Invoices come from the approved estimate, with the GST rate on each line and the tax total on the print. Payments are recorded against them one by one, with transaction IDs, and the balance and status update on their own.

Spare-parts stock

Each part has a code, category, car or bike fit, compatible brands, purchase and selling price, supplier and a low-stock level. Parts issued to a job card leave stock, and removing one puts it back.

Bookings

Online, phone and walk-in bookings in one list with vehicle, complaint, preferred slot and pickup or drop. Each moves from new to confirmed to vehicle received, then converts into a job card.

Customers and vehicles

Customers are tagged by source, such as walk-in, website, WhatsApp, Google or referral, and by type, such as repeat, corporate or fleet. Each vehicle records registration, fuel type, kilometres, chassis and engine numbers.

Service reminders

Reminders for next service, oil change, insurance expiry, PUC expiry and general check-up. Each has a WhatsApp message with your booking link, and staff mark it followed up once sent.

Workshop dashboard

Vehicles in the garage, today’s bookings, today’s and this month’s revenue, estimates pending, approvals pending, cars ready for delivery, unpaid invoices and low-stock alerts, each one click from its list.

Garage website with booking

A public site with your services, working hours, map, WhatsApp number, gallery and reviews. Its booking form drops straight into your bookings list and creates the customer if they are new.

Reviews and gallery

Choose which customer reviews appear on the website. Upload photos of the workshop, your equipment and before-and-after shots of repair and detailing work.

Owner

Sees revenue for the day and month, unpaid invoices, low stock and every job card. Manages staff logins and the garage website.

Service advisor or receptionist

Common questions

Questions owners ask before a demo.

Can this garage management software print a GST invoice?

Yes. Each line carries its own GST rate, and the printed invoice shows the tax total. It is built from the approved estimate, so nothing is typed twice. Your GSTIN, HSN codes and the CGST and SGST split are added to the layout during set-up if your accountant wants them.

Does stock go down when a part is fitted?

Yes. Issuing a part to a job card takes it out of stock, and removing it puts it back. The screen will not issue more than you have on the shelf.

We run a car service centre. Can it remind customers when the next service is due?

Yes. Delivering a job sets the vehicle’s next service date, and insurance and PUC expiry dates are kept on the vehicle too. Staff work from a reminders list where each entry has a WhatsApp message and your booking link ready, then mark it followed up.

Will it work with Tally?

Not directly today. Invoices and payments are listed in the software for your accountant, and there is no Tally link built in. If retyping bills into Tally costs you real time, we scope an export during set-up and agree the ledgers with your accountant.

Can we move our old customer and vehicle records?

Yes. We bring in customers, vehicles and parts from Excel or your old software before go-live. We check a sample with you so the first week does not start with wrong numbers.

Can advisors use the job card software on a phone in the bay?

Yes. It runs in the browser on phones and tablets. Advisors can open a job card at the gate and update its status from the floor.

Does this workshop management software handle both cars and bikes?

Yes. Vehicles, bookings and parts are marked as car, bike or both. A garage that services both uses the same system for each.

Who owns the data?

Your garage does. Customer, vehicle and billing records are yours, not ours. There is no export button yet, so the way you get a full copy, including if you leave, is agreed in the written proposal.

How much does it cost?

There is no published price. It depends on how many staff use it and what we change for you. We show you a demo with a few of your own vehicles, then put the cost in a written proposal before anything is built.

Should we just use a free billing app instead?

If you only need bills, yes, a billing app is enough. This is for garages that lose money on unbilled parts, unapproved extra work and customers who never come back. The free technology audit will tell you which you are.
