Reports for Garage Owners and Service Advisors
Revenue, unpaid invoices, job cards, estimates, low stock, reminders and bookings are reported from the records the counter and the workshop already keep. Each list opens onto the records behind it.
Reports from the same job cards
A garage normally keeps its figures in separate places, with bills in one file, parts in a register and bookings in a diary. Here the reports read from the job cards, invoices, parts stock and bookings, so a question about money owed or cars waiting is answered from live records. The list below covers what is reported.
The reports
Who acts on them
Owners read revenue and unpaid invoices. Advisors work from bookings, estimates awaiting approval and cars ready for delivery. Accountants follow unpaid and part-paid invoices until they clear. Whoever runs the parts store reads low-stock parts, and the person at the counter works through the reminders list. Access to each report follows the role.
What the figures reflect
- A report is complete only when job cards, parts issues and payments have been entered
- An unpaid invoice stays listed until a payment is recorded against it
- Reports beyond this list are scoped with the garage during implementation
Frequently asked questions
Are the reports live?
Yes. They draw on live job cards and invoices, so a figure moves when staff update a card or take a payment.
Can the garage see which approvals are pending?
Yes. Estimates that have been shared and not yet approved appear on a list, and the approval method is saved once given.
Does it report on GST returns?
No. It raises GST invoices with the rate on each line. Filing returns and the figures for them are a matter for the garage’s accountant.
Can a report we need be added?
Yes, provided the garage already keeps the entries behind it. Extra reports are agreed during scoping.
