The Estimate the Customer Actually Approved

The estimate was six thousand and the bill is nine and a half. The approval was a phone call on Tuesday that nobody wrote down. You either argue at the counter or swallow the difference.

The clutch plate is worse than it looked. The advisor rings the owner, the owner says go ahead, the mechanic gets on with it. Three days later the owner remembers the first figure and nothing else, and he is standing at your counter with his wife waiting in the car.

What an estimate carries

Line by line, not a lump sum

Labour, parts, services and consumables each on their own line with quantity, price, GST and any discount. The owner can see what the money is for.

Shared, and recorded as shared

The estimate goes to the customer, usually on WhatsApp. The system keeps when it went and to whom.

Approved, rejected or revised

Each estimate carries its own state. A rejected one does not quietly become a bill, and a revised one keeps the version that came before it.

How the approval came

WhatsApp, a phone call or in person, saved against the estimate with the time. That single line settles most counter disputes.

It becomes the invoice

The approved estimate turns into the GST invoice, line for line, with no retyping and no gap between what was agreed and what is billed.

Frequently asked questions

Can the customer approve from his phone?

He sees the estimate on WhatsApp and replies there. Your advisor records the approval and the method on the estimate. There is no signed digital approval screen in this product today.

Can we revise an estimate after work starts?

Yes. A revision is a new version on the same job card, the earlier one stays, and that history is what protects you when the figure has moved twice.

Does it stop work when there is no approval?

It flags the job card as waiting for approval and shows it on the dashboard. Stopping the mechanic is a workshop rule you enforce, not something software can do for you.
