Automotive · Software for car service and detailing centres

Record approvals, parts and reminders for every car in the workshop.

Car service and detailing centres juggle job cards, approvals given over the phone, brake pads bought from a nearby dealer and ceramic coating jobs that need a maintenance wash later. Each bay carries its own job card, so the owner’s approved estimate, the brake pads issued off the shelf and the later WhatsApp service reminder all stay on one record.

At a glance

A car owner returns to an independent workshop because he trusted the bill. A saved approval and an invoice that matches the work earn that trust better than a discount on the next wheel alignment.

For each car the workshop software keeps the complaint, the approved estimate, the parts fitted and the next service date. Wash packages and ceramic coating or paint protection film jobs sit beside it in the car detailing product.

How the work runs today

A hatchback arrives for a periodic service, a clutch plate replacement, a dent and paint job or a graphene coating. At gate-in the advisor writes odometer reading, fuel gauge position and the owner’s complaints on a job card, then quotes before a spanner is lifted. Mid-job the mechanic finds worn control arm bushes. The advisor phones the owner for a decision.

Oil filters and brake discs come off the shelf or from a local dealer, often on credit. Paint correction and paint protection film jobs hold a bay for two or three days. Each coating job needs a maintenance wash that somebody must remember to offer.

At delivery the bill is printed from a billing app. The next service date goes on a windshield sticker and nowhere else.

Where it breaks

What goes wrong for car service and detailing centres without a proper system.

Approvals are disputed at billing

The owner agreed to a wheel balancing and a coolant flush over a call. At the counter he denies it, and the advisor has nothing written. The workshop absorbs the cost and loses goodwill.

Parts are fitted but not billed

A cabin filter taken from the rack on a busy Saturday never reaches the invoice, and stock at month end is short by a few filters and a bottle of gear oil.

Bays are committed twice

A ceramic coating holds bay three all day while a service car is booked into it, so one owner is told to return tomorrow. Neither booking was written anywhere.

Coating customers do not come back

After the delivery photograph nothing calls a coating customer back for the maintenance wash. The relationship cools. The next wash goes to a roadside stall.

Readiness time is unclear

The owner phones three times by noon, and each time the advisor walks to the bay to ask the mechanic.

What the software does

What we would build for car service and detailing centres.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Job cards

Record odometer, fuel level, complaints, inspection notes, the mechanics on the car and a promised delivery date. Status moves from gate-in to delivered, so anyone at the counter can answer.

Estimates and approvals

Price labour, parts and consumables with sales tax or VAT where it applies, then share the estimate with the owner. The approval is saved along with how it was given.

Spare-parts stock

Issue a part to a job card to reduce stock, and return it to restore the count. Each part carries its vehicle fit, such as the make and model an oil filter fits, and low-stock items are flagged.

Bays and technicians

Assign technicians and a service advisor to each job card, so the counter says who is on which car without walking across the shop. Bays for long coating jobs are allocated in the detailing product.

Tax invoices and payments

Create the invoice from the approved estimate and record every part payment against it, whether cash, card or bank transfer, until the balance clears.

Service reminders

Track next service, oil change, insurance renewal and emissions test due dates, each with a WhatsApp message and your booking link. The owner hears from you first.

Wash and coating packages

Use the detailing product for prepaid and ten-wash packages with visits used and left. The coating or PPF date sits on each car’s record.

Solutions inside

The business modules car service and detailing centres use most.

Each one is also available on its own, or inside a system built for you.

AI by department

Where AI can help car service and detailing centres.

Each one reads records you already keep, and a person approves every decision.

Parts missing from invoices

Filters walk off. The assistant compares parts issued from the rack with the items on each job card and invoice, then flags any part that left stock but never reached a bill. The workshop manager checks the flagged list and decides whether to add a charge.

Approval gaps before billing

Verbal approvals fail later. Before an invoice is raised, the assistant checks that each work item has a saved approval and how it was given. It lists any that rest on a phone call alone. The service advisor contacts the owner and records the answer.

Bay and technician allocation

Bays get booked twice. The assistant reads the day’s job cards, long coating jobs and technician assignments, then suggests which bay and mechanic suit each arriving car without a clash. A long coating job stays away from a bay promised to a service car. The service advisor accepts the plan or rearranges it.

Coating and service follow ups

Coating customers drift away. The assistant reads delivery dates, coating records and next service due dates, then drafts a maintenance wash reminder with your booking link for each owner who is due. The advisor reviews every message before it goes out.

Common questions

Questions car service and detailing centres ask before they call.

Do you handle insurance claim jobs?

No. Estimates and invoices cover work the owner pays for. Claim numbers, surveyor paperwork and money owed by insurers are not tracked, so a claim-heavy body shop needs more than this.

Can customers book a slot online?

Yes. The garage management software includes a simple website, and its booking form lands in your bookings list. The booking becomes a job card when the car arrives.

Is a billing app enough on its own?

For bills alone, yes. Ask for a walk through your bays with one car first. Garage software earns its place when extra work is disputed, parts go unbilled or customers do not return.

Can it handle ceramic coating and wash packages?

Yes, through our car detailing management system. It tracks prepaid packages, visits left and the coating date on each car, and is set up alongside the garage software.

What sets the price of a garage and detailing system?

The count of bays and branches, the advisors, mechanics and detailers who log in, and the packages for coatings and washes all shape it. A printer, a billing app or WhatsApp reminders to connect add scope. Pricing follows once your job cards are read, each part priced apart.

What should a service centre keep ready before the build?

Keep a stack of filled job cards, your parts price list, the coating and wash package details and a sample tax invoice at hand. Add the list of customers who are due a service. An advisor, a workshop head and a parts counter person should review screens.

What happens to customer vehicle histories when we stop?

They remain yours. The centre holds code and data alike. Job cards, approvals, parts issues and reminder lists can all be extracted in ordinary file formats. Support continues from the build team, and GullySystem is the host except where you arrange otherwise.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
