Automotive · Software for used car dealers

Follow every pre-owned car from purchase and reconditioning to sale, with its cost and papers beside it.

A used car dealer holds money in vehicles that were each bought differently and repaired differently. The used car dealer software keeps one file per car: purchase price, inspection findings, reconditioning cost, days in stock and ownership papers. One file holds the sale. The trade-in sits there too.

At a glance

No two cars on the forecourt cost the same to get ready. One needs tyres and a polish. Another needs a gearbox repair, a repaint and a new set of keys from the manufacturer. If those costs live in a workshop book, the dealer learns the true margin on a car only after it has gone. That is late.

Dealer software for pre-owned stock starts from the vehicle file and its days on the lot. It follows one car from the auction or trade-in desk to the day the buyer drives away.

How the work runs today

Used stock arrives from auctions, trade-ins, private sellers and other dealers, each with a different set of papers. A buyer inspects the car, agrees a price, and checks the registration, the number of previous owners, the service history, any finance outstanding and the odometer reading. The car then goes to the workshop or a bodyshop for reconditioning. It returns with a bill. Parts and labour must join its cost. Papers differ.

On the forecourt, sales staff handle enquiries from listing sites, walk-ins and phone calls, arrange test drives and take part-exchange cars. A deal may carry a loan. Add an extended warranty and accessories. After agreement the dealer prepares the invoice, collects the deposit and balance, hands over the keys and files the ownership transfer. Unsold after many weeks? Then price becomes the decision. Prices move.

Where it breaks

What goes wrong for used car dealers without a proper system.

Reconditioning cost is never added to the car

Tyres, paint and a clutch job are paid for from the workshop account. Everyone who prices the car then forgets them. The listed margin is wrong, and a discount is granted that the car cannot afford. That is common.

Old stock hides on the forecourt

A car that arrived ten weeks ago sits behind newer ones, and nobody has marked it down. Interest and parking cost keep running against the money tied up in it. Cash sits idle here.

Papers are missing at handover

The sale is agreed, and then the previous owner’s transfer form, the service book or a lender’s release letter cannot be found anywhere on the premises. The buyer waits. Patience runs out.

Listing sites and the lot disagree

A car sold on Tuesday is still advertised on Friday, and a caller drives a long way to see something that is already gone. Trust drops.

Part-exchange values are guessed

A trade-in is valued in a hurry at the desk with no record of the checks made on the car, and it then costs far more to prepare than anyone thought. Mistakes follow.

What the software does

What we would build for used car dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Vehicle file from purchase

Record the source, purchase price, registration, odometer, previous owners and the documents received. The file stays with the car. It closes on sale.

Inspection and reconditioning jobs

Open a work order per repair, respray or valet so parts and labour land on that car’s cost, and book any bodyshop invoice against the same stock entry.

Stock ageing and pricing

See every car by days on the lot and total cost, with a flag when a price review is due and the asking price beside the floor price.

Enquiries, test drives and reservations

Log each enquiry by source and car, book test drives against the car’s availability, and hold a car with a token deposit for a stated period.

Sale, finance and handover papers

Build the invoice, record the lender’s approval, warranty and accessories, and tick off the transfer documents on a handover checklist kept for each car.

Trade-in appraisal

Record the checks made on a part-exchange car, the value offered and the estimated preparation cost, and open the new car’s file straight from the appraisal if the deal completes.

Salesperson commission

Work out commission from the sale price against the file’s total cost, with extras such as finance and warranty sales counted on separate lines.

Common questions

Questions used car dealers ask before they call.

Can the cost of repairs be added to each car?

Yes. Parts, labour and outside bodyshop bills are posted to the car’s file. The margin you see on the sale is struck from the full cost and not from the purchase price alone.

Does it work for a small lot of twenty cars?

It can. A small lot gains the per-car cost file and the days-on-lot view first. The remaining views can wait. Send us your stock count. Then we judge the other views.

Can we mark a car as sold on our listing sites?

Listing feeds depend on the site and are scoped during implementation. Where a site offers a feed, the car’s status can be sent from the file, so a sold car is not advertised. Sold means sold on every site.

How are part-exchange cars handled?

The appraisal is saved with the checks made and the value offered, and if the customer completes the deal, the same record becomes the new car’s file.

Which parts of a car dealer’s system decide the quotation?

Lots and showrooms, the stock to load, reconditioning workshops, listing sites to connect and the users in sales and accounts all matter. Commission rules add some effort. The written quotation lists each part on its own.

What should a car dealer have ready first?

Bring a vehicle file with purchase price, an inspection report, a reconditioning job sheet, ownership paper copies, a trade-in appraisal and a sale handover set. A sales manager and an accounts person each need to be on hand.

Who holds the vehicle files if the dealer stops using it?

The dealer does, as well as the code. On request the dealer gets purchase, repair, sale and paper records as plain files. Building and support stay in one group, and GullySystem hosts it, though the dealer may name a different host.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
