Automotive · Software for truck and trailer companies

Keep every truck, trailer, workshop job and spare part on one record.

Truck and trailer companies sell, hire and service heavy vehicles, and each unit carries a long history. The software holds every tractor unit, rigid and trailer as one record with its chassis number, axle layout, service jobs, parts fitted and dues. Sales, workshop, parts and accounts teams read the same unit. Hire agreements and service contracts are tracked beside it.

At a glance

A truck and trailer company may sell tractor units, hire out curtainsiders and reefers by the day or month, and run a workshop that repairs customers’ vehicles. Each unit has a chassis number, a registration, an axle layout, a service history and a list of what is owed. Those facts usually live in separate books. The person who needs them sits at another desk.

The software gives every unit one record that the sales desk, the workshop, the parts counter and the accounts team all open. Hire agreements and service contracts sit beside it. Nothing is retyped. Groups with several yards see each yard on its own and the whole business together.

How the work runs today

The sales desk takes enquiries from fleet owners, transport operators and owner-drivers. A buyer asks for a tipper, a tractor unit with a fifth wheel or a flatbed trailer, and a salesperson quotes it. The quote lists body build, tail lift or tarpaulin options, finance terms and any trade-in. Used units arrive through part exchange, each with an inspection note and a reconditioning cost. Some customers hire instead of buying, so one trailer may earn rent for a season before it is sold.

The workshop is busy. It takes jobs from a driver’s complaint, a scheduled service or a roadworthiness test due date. A job card lists the fault, the technician, the parts fitted and the hours worked. The parts counter issues brake drums, pads, air filters, tyres and kingpin fittings against that card. Accounts bills the work and chases the balance, which is often large because fleet customers pay on terms. Between jobs, the office watches which vehicles are due back for their next inspection.

Where it breaks

What goes wrong for truck and trailer companies without a proper system.

Unit history sits in several books

The sales file, the workshop register and the parts ledger each hold part of a unit’s story, from axle weights to the last brake overhaul. Nobody sees the whole before quoting a repair or a resale.

Job cards and parts do not match

Brake pads and air springs leave the counter on a verbal request. When the invoice is written, the technician’s list and the stock record disagree. Someone has to guess.

Hire and service dates pass unseen

A hire agreement ends or a tachograph calibration falls due, and the date is only in a diary. The trailer sits idle in the yard or runs unbilled.

Used units carry hidden costs

Part exchanges are bought on a quick walk round. Reconditioning, retreaded tyres and cab repairs are added later and never tied back to the margin on that tractor unit.

Fleet dues are hard to total

A transport operator may owe for a gearbox overhaul, parts and trailer hire at once. Each figure is in a different book, so a collection call lacks one number.

What the software does

What we would build for truck and trailer companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Unit register

Hold each tractor unit, rigid and trailer with its chassis and registration numbers, body type, axle layout, suspension, owner and current location. Test certificates and photographs stay attached for anyone who opens it later.

Sales enquiries and quotations

Log buyer enquiries, quote units with body build, tail lift and tarpaulin options and trade-in value, and keep every revision and order status in one list. Nothing waits in an inbox.

Workshop job cards

Open a job card for each complaint or scheduled service, assign a technician and a pit, and record hours and parts as they happen. The job runs through to handover and invoice.

Parts counter and stock

Record parts received, issued to job cards and sold over the counter. Reorder levels are set for brake drum, pad, air filter, tyre and coupling lines.

Hire and service contracts

Track trailers and rigids out on hire with agreement dates, daily or monthly rate and return, and hold service contracts with inspection schedules and renewal dates.

Invoices and fleet dues

Raise tax invoices for sales, hire, service and parts, post receipts, and show each fleet customer’s balance across all four. The oldest bill comes first.

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions truck and trailer companies ask before they call.

Is the workshop covered as well as sales?

Yes. Enquiries, units, job cards, parts and billing sit in one system. Which of those areas switches on first is decided with you in the opening workshop, from the pit bays to the parts counter.

Can we run hire as well as sales?

Yes. A unit can be sold, hired or serviced, and each use is recorded against the same chassis. Rates and terms follow your own agreements.

Can tax and currency follow our country?

Tax invoice layouts, tax rates and currency are set for each country you trade in and reviewed during implementation. Your accountant confirms the rules. We do not decide them.

Does it track vehicles on the road?

No. It does not read telematics or show vehicle location. A feed from a tracker you already use can be connected as separate work.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
