GullySystem
Automotive · Software for car rental companies

The Innova is booked for Friday, but it is still in the workshop and nobody told the desk.

Car rental companies run self-drive cars, chauffeur trips and monthly corporate cabs on WhatsApp bookings, paper duty slips and a spreadsheet of expiring documents. GullySystem builds a fleet and booking system that shows each car’s availability, records every duty’s kilometres and hours, and bills corporates correctly. The free technology audit starts with one month of your duty slips.

At a glance

Your fleet earns only when it is on the road with the right paperwork. An idle car or an expired permit costs you twice.

We build software that shows every vehicle’s status and every duty’s numbers, from booking to invoice.

How the work runs today

Bookings arrive by phone and WhatsApp: an airport drop at 4 am, a two-day outstation trip to Mysuru, a monthly cab for a company’s staff. The desk checks which car and driver are free, often by calling around. For self-drive rentals, the customer’s licence is checked, a deposit taken, and the car’s condition photographed.

Drivers fill duty slips with opening and closing kilometres, hours, tolls, parking and night charges. Slips come back at the end of the trip or the week.

Corporates are billed monthly on package rates, with extra kilometres and hours added. Service dates, insurance, permits and FASTag balance are tracked in a spreadsheet, if at all.

Where it breaks

What goes wrong for car rental companies without a proper system.

Double bookings and idle cars

The availability is in the desk manager’s head, so one car is promised twice while another sits unused.

Duty slips don’t add up

Kilometres and hours are handwritten, and the corporate client challenges the extra charges.

Documents expire without warning

A permit or insurance lapses, and the car is stopped on an outstation trip.

Self-drive damage is disputed

Without check-out photos, a dent on return becomes an argument over the deposit.

What the software does

What we would build for car rental companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Booking calendar by vehicle

Every car and driver on a calendar, with service and blocked days shown.

Digital duty slip

Drivers record kilometres, hours, tolls and parking on a phone, with photos of the odometer.

Corporate package billing

Monthly invoices built from duties, with package rates, extra kilometres and hours applied.

Vehicle document and service alerts

Insurance, permit, fitness, PUC and service due dates, with reminders.

Self-drive check-out and check-in

Licence check, deposit, fuel level and condition photos at handover and return.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions car rental companies ask before they call.

Can monthly corporate invoices go to Tally?

Yes. Invoices built from duty slips post to Tally with the right GST, so your accountant does not rebuild them.

Can it read GPS data from our cars?

Yes, if your GPS provider shares the data. Trip kilometres can then be checked against the duty slip, which gives you something to show a corporate client who questions the bill.

Should a small operator buy ready fleet software?

With a handful of cars, a ready app is usually the right answer. Custom work helps when you mix self-drive, chauffeur and corporate contracts with different billing rules.

Can customers book online?

Yes. A booking page with live availability can feed the same calendar the desk uses.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
