Automotive · Auto Dealer Management System

Stop losing buyers between the test drive and the booking because nobody followed up.

Auto Dealer Management System is dealer management system software for car showrooms and vehicle dealers. One record carries an enquiry from quotation and test drive through booking, finance and delivery, with the loan papers and insurance copy attached to it. Nobody hunts for the file. Your stock list reads the same on the showroom screen, on your website and on the portals that allow a link.

  • Models, deal stages and your commission rules go in before anyone logs in
  • Open enquiries, the stock list and past customers travel with you
  • Whoever configures it is who you ring when a scheme changes
Where it breaks today

What goes wrong before the software.

Walk-in enquiries go cold in a week

A family visits on Sunday, takes a brochure, and leaves a number with the floor executive. If he is on leave on Tuesday, nobody calls them back.

The same buyer gets three calls from three executives

Leads from Facebook ads, Google, the website, portals, and calls land on different phones. Nobody can tell who already spoke to whom.

The loan file is on somebody’s desk

The bank approval, down payment receipt, and insurance copy sit in a folder. When the buyer asks about delivery, the executive has to go and find it.

A car we sold last week is still listed online

Stock is updated on the showroom sheet but not on the website. A buyer drives in for a car that has already gone.

Commission turns into an argument every month

Executives work out their own incentive, accounts works out another, and the gap is settled by the GM’s mood.

Service customers drift to the local garage

After the free services, nobody reminds the owner the next one is due. He finds a cheaper workshop, and you never see the car again.

How it runs

How the work flows through it, step by step.

  1. 1

Sunday afternoon, a family walks in

They take a brochure and leave a number with the floor executive. Walk-ins, calls, website forms, ads and portal leads land in one list, and each one gets an owner. No enquiry sits unowned.

  2. 2

    Quotation, then a test drive

The quote goes out on Monday and the test drive is noted on the deal. Every stage sets the next follow-up task. A warm buyer is not left until the following Sunday.

  3. 3

    The booking amount comes in

A receipt goes out against the deal. The car is marked booked in stock, and the website listing changes with it. Nobody drives in for a car that has already gone.

  4. 4

    Papers, loan and down payment

Down payment, loan approval and the EMI schedule are recorded on the deal. Purchase contract, loan file and insurance copy are uploaded to the same record. The desk stops hunting for a folder.

  5. 5

    Invoice and delivery day

The invoice is raised when the deal closes, and anything still owed is tracked against it. Commission is worked out from the payment actually received. The deal moves to delivered.

  6. 6

    Twelve months on

Service bookings and job cards are tracked, and service-due and insurance renewal reminders go out on time. When the same family comes back for a second car, their history is already open.

Good fit

Who this is built for.

  • Car dealerships with a showroom and a service workshop
  • Two-wheeler dealers handling many walk-in enquiries a day
  • Used car dealers who list stock on their own website and on portals
  • Dealer groups with several branches who want enquiries and stock in one view
  • Sub-dealers and outlets that track bookings in Excel today
Honest answer

When it is not the right choice.

  • If your brand requires its own DMS for vehicle orders, warranty claims, and parts, this sits alongside it rather than replacing it.
  • If you only repair vehicles and don’t sell them, Garage Management Software is the better fit.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your models, stages, and rules

Brands, models, variants, deal stages and your commission payout rules are entered first. What the executive sees then matches how you actually sell.

Enquiries and stock moved across

Open enquiries, current stock and past customers arrive from your Excel sheets or old software. You check them before anyone works on them.

Website and portal links

Stock listings connect to your website, and to the portals you use where those portals allow a link.

WhatsApp, SMS, and email

Follow-ups, EMI reminders and service-due messages go out on the channels your customers actually answer.

Training for the sales floor

Short sessions for executives, the loan desk and accounts, each on their own screen. At the showroom, or on a call.

Hosting, and the people behind it

Hosted in the cloud, so every branch works on the same data. Change a scheme or a commission rule and our team makes the change.

Common questions

Questions owners ask before a demo.

Does this auto dealer management software replace my brand’s DMS?

No, it sits alongside it. Most brands give dealers their own system for vehicle orders and warranty. This one holds what dealers usually keep in Excel and WhatsApp: enquiries from every source, follow-ups, finance paperwork, and your commission rules.

Is there a dealer management system app for the sales floor?

Yes. It opens on a phone, so an executive can log a new lead, update a deal stage, or send a quote from the forecourt. The GM can check stock and bookings from anywhere.

Can two-wheeler dealers use it?

Yes. The flow is the same: enquiry, test ride, booking, finance, and delivery. Models and variants are set up for your brand before go-live.

Does it work for used car dealers?

Yes. Each car gets one listing with its price, photos, and status, and the listing updates on your website when it sells. Loan papers and documents stay attached to the buyer’s deal.

Can our accountant post this in Tally?

Yes, by export. Invoices and receipts come out in a file he posts in Tally. Wiring the two together directly is a separate piece of work, quoted only if you need it. Commission and finance reports stay in the dealer system.

Can you move our enquiries and stock from Excel?

Yes. Open enquiries, stock and past customers are imported from your sheets or current software. Your team checks the lot before go-live.

Who owns the customer and sales data?

The dealership does. Everything entered is yours, reports download in Excel or PDF, and the proposal says how the whole database is handed over.

What does the auto dealer management software cost?

No price is published. Branches, users and the links you need all change it, so you watch it run on your own stock before any figure is quoted in writing.

We are a small sub-dealer. Is this too much for us?

It might be. If you sell a few vehicles a month and one person handles everything, a shared sheet may do. Our free technology audit answers that honestly, and nobody has to buy anything afterwards.
