Automotive · Software for auto parts dealers

Keep part numbers, rack stock, retailer credit and the salesman’s orders on one record.

Auto parts dealers buy from brands and OEM distributors and sell to retailers, garages and fleet owners, often across a trade counter and a salesman’s beat at once. Part numbers multiply, back-orders are noted on slips and retailer outstanding is read from the books late in the month. The software keeps the part master, rack stock, trade credit, route orders and supplier claims together, so the counter and the field work from the same figures.

At a glance

A parts dealer stocks thousands of lines across car, two-wheeler and commercial vehicle brands. Each line can carry an OEM number, a brand number, a supplier code and sometimes an older number the mechanic still quotes.

Most dealers run two businesses under one roof. The counter serves mechanics who walk in. Salesmen visit retailers and garages on a fixed beat, take orders on the spot and phone them back to the godown before lunch.

How the work runs today

The morning starts with orders sent overnight on WhatsApp, lists of part numbers and quantities from retailers on the salesman’s route. The counter checks stock, packs what is there and writes the rest on a back-order slip.

Purchases come from several brands and distributors, each with its own price list, discount structure and quarterly target. A price revision arrives as a PDF and is keyed into the billing package item by item before the next bill goes out.

Retailers pay in parts. The salesman collects cheques and cash on the same visit. Wrong-fit and damaged parts come back from garages days later, often without the bill number they were sold on.

Where it breaks

What goes wrong for auto parts dealers without a proper system.

One part sits under several numbers

Stock received under a brand number is searched for under the OEM number, and the counter says it is out. The part stays on the rack.

Retailer outstanding is known too late

The salesman visits a retailer without knowing his overdue bills and books a fresh order anyway. The balance keeps growing.

Back-orders are forgotten

A garage asks for a clutch kit that is not in stock, and nobody calls when the supplier delivers it. He buys it elsewhere.

Returns arrive without a bill

A wrong-fit part comes back from a retailer, and the refund and the stock entry are made by different people. One of them is missed.

Defective parts lose their claim

A failed sensor or battery goes back to the distributor, but the purchase bill and sale date cannot be found together. The claim weakens.

What the software does

What we would build for auto parts dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Part master with every number

Keep the OEM number, brand equivalents and the supplier code on one part record, so a search on any of them finds the same stock and the same rack.

Fitment by make, model and year

Search by vehicle to see which parts fit, so a new counter hand can serve a mechanic without waiting for the one person who remembers.

Rack stock and reorder lists

Hold quantity by rack and bin, set reorder levels per part and mark slow movers.

Retailer and garage credit

Run accounts for retailers, garages and fleet owners with limits, due days and ageing, and record who approved a bill above the limit.

Route orders and retailer logins

Let a salesman place an order in a retailer’s name at that retailer’s rate from his phone, or give larger buyers a login with their own price list and ledger. Orders past the credit limit wait for a named person to release them.

Back-orders with an arrival call

Record parts a customer wants that are not on the shelf, take an advance and send a message when the stock arrives.

Returns and supplier warranty claims

Enter a wrong-fit return against the original bill, and log a defective part against both the sale and the supplier bill until the claim is settled.

Solutions inside

The business modules auto parts dealers use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

Common questions

Questions auto parts dealers ask before they call.

Can our salesman book orders from the retailer’s shop?

Yes. He picks the retailer and keys the order at that retailer’s rate, with the outstanding and limit on the same screen. The order reaches the godown ready for picking.

Does it track brand targets and quarterly schemes from our suppliers?

Not on its own. Purchase bills sit by supplier and brand, and the schemes you give retailers are held with start and stop dates. A tracker for brand target slabs can be built as added work, with its own quote.

Can it read the OEM’s parts catalogue?

No. Part numbers and fitment are built from your own stock sheets and supplier price lists, then extended as you add parts.

Will the day’s sales go into Tally?

Not built in. A Tally export is scoped once your accountant’s ledger names are known, and it carries a separate quote.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
