Every Vehicle Remembers Its Last Visit

The same Swift comes back in August with a noise. What you did to it in February, which parts went on and which mechanic did the work should not depend on who happens to be at the counter.

Asking the customer what you did last time

He says the clutch was done here, maybe in February, maybe March. The old file is in a cupboard, arranged by date rather than by car. So you ask him questions he cannot answer, and he begins to wonder how carefully anybody here is working.

What the records hold

The vehicle, not just the owner

Registration, model, fuel type, kilometres, chassis and engine numbers. One customer can have three vehicles, each with its own history.

Every visit in order

Job cards, complaints, work done, parts fitted and what each visit cost. Read down the list and the car tells its own story.

Where the customer came from

Walk-in, the website, WhatsApp, Google or a referral. You find out which of those actually sends you paying work.

What kind of customer

Repeat, corporate or fleet. A fleet account is billed and chased differently from a man with one bike.

Found by number plate

Type the registration at the gate and the car comes up with its owner, its last visit and its pending reminders.

What this changes at the counter

An advisor who can see the last three visits makes a better recommendation than one who is guessing, and the customer hears the difference.

  • Vehicles due for a service, by model and by kilometres
  • Customers by source, and which sources repeat
  • Fleet accounts with all their vehicles in one view
  • Old customer and vehicle records brought in from Excel at set-up
FAQ

Frequently asked questions

Can we bring in our old customer and vehicle records?

Yes, from Excel or your previous software, before go-live. We check a sample with you so the first week does not begin with wrong kilometres and wrong phone numbers.

Does it pull vehicle details from the registration number?

No. There is no connection to any vehicle registry. What is on the record is what your advisor typed in when the car first came to you.

Can a mechanic see the vehicle’s past work?

He sees the job cards assigned to him with their complaints and inspection notes. How much of the older history he can open is decided by the logins you set up.
