The Next Service Date, Set at Delivery
Most customers do not leave you. They simply forget, and the garage nearer their new office gets the car. A reminder sent in the right week is the cheapest work your counter can do.
They were due in March and nobody knew
A regular customer serviced with you for four years, and his last visit was in September. There is no list anywhere that says he was due again in March, so no one called. He is servicing somewhere else now. You found out when he came for a puncture.
What sits on the vehicle
Last service and next service
Marking the job delivered stamps the last service date and sets the next one. Nobody has to remember to do it separately.
Insurance and PUC expiry
Both kept against the registration. A call a fortnight before expiry is a service booking more often than not.
Oil change and general check-up
Separate reminder types, because the oil is due long before the full service is. Each vehicle can carry more than one.
A message already written
Each reminder opens WhatsApp with the text and your booking link in it, and the person at the counter reads it, changes what they like, sends it.
Marked as followed up
Once sent, the entry is marked. The next person does not ring the same owner again that evening.
The list, worked through on a slow afternoon
Reminders due, reminders done and reminders now overdue sit in one place, so the quiet hour after lunch has something useful in it.
- Due this week by type, with the vehicle and the owner
- Overdue reminders nobody has touched
- Owners contacted who then booked a slot
- Vehicles not seen for a long time, worth one call
Frequently asked questions
Does it send the WhatsApp message by itself?
No. It prepares the message and opens WhatsApp from your garage’s number, and somebody presses send. That last step is left in on purpose, because the reply often turns into a booking on the spot.
Where do the insurance and PUC dates come from?
From whatever your advisor enters when the vehicle is received. Old records can be brought across at set-up. The software does not read them from any government system.
Can we remind customers by SMS instead?
WhatsApp click-to-chat is what is built in, because it costs nothing and customers reply on it. SMS through a provider is scoped separately if you want it.
