One Job Card per Visit, Gate to Delivery
A car comes in with a noise from the front left and an owner who wants it by evening. Everything after that hangs off one numbered card: what he complained about, what you found, who is working on it and where it has reached.
Oil on the paper, an argument at the counter
Complaints and odometer are scribbled at the gate on a printed sheet, and by billing time the middle of it is unreadable. Then the customer points at a scratch on the left door. Nobody wrote down that it was already there when the car arrived.
What the card records at the gate
Odometer and fuel level
Both taken when the vehicle is received. That ends two of the oldest arguments in a workshop. Nothing to dispute at billing time.
The complaint in the owner’s words
What he says is wrong, written as he says it. The inspection notes sit separately, so the two are never confused.
Expected delivery time
A time is promised once, on the card. The advisor is not guessing a different answer each time the owner rings.
Mechanics and the advisor
One or more mechanics are put on the card, with the service advisor who owns it. Anyone at the counter can see who has the car. No shouting across the floor.
A status that moves
Created, inspected, waiting for approval, work in progress, ready, delivered. The list of cars in the garage is that status, read across. Nothing else is needed.
Why the advisor stops walking into the bay
The answer to the only question customers ask is now on a screen at the counter. Nobody walks to the bay.
- Every vehicle in the workshop right now, with its status
- Cars ready for delivery, and which of those are unpaid
- Job cards waiting on the owner to approve extra work
- The card opened on a phone in the bay, not only at the desk
Frequently asked questions
Can we open a job card on a phone at the gate?
Yes. It runs in a browser, so an advisor can receive the vehicle, note the odometer and start the card while standing beside it. What he writes at the gate is what the counter reads a minute later.
Does the customer get a copy of the job card?
Most garages send the estimate instead, and it is built from the same card. What the owner gets is settled during set-up, along with your card numbering.
Will it tell us how long a job actually took?
It shows when the status changed and who was assigned. There is no stopwatch on the mechanic, so labour hours are what you record, not what the software measures.
