Manufacturing · Specialty Chemical Manufacturer Management Software

Formulation versions, pilot and production batches, certificates and data sheets on one product.

Follow a performance chemical from the first customer enquiry to the certificate of analysis. A shipped lot leads back to its master batch record, the raw lots and assays charged, the pilot run and the laboratory trial it came from. Chemists, kettle supervisors and technical sales read the same record. Nobody works from a private notebook copy.

  • Formulations, recipes, test lists and data sheets entered the way your chemists hold them
  • Customer list, past trials and open orders migrated
  • Registration and handling rules defined by your own regulatory and safety staff

Makers of surfactants, dispersants, dyes, resins and process aids handle trials, formulation versions and batches in software that GullySystem configures. Each lot links its recipe version, raw lots with assay, and measured viscosity, pH and solids. A certificate of analysis and the controlled data sheet go with the shipment.

Where it breaks today

What goes wrong before the software.

Notebook recipes are retyped for production

The winning trial lives in a chemist’s notebook until a supervisor copies the charge weights onto a master batch sheet by hand, and one digit is mistaken. The kettle pays for it.

Version history is missing

A customer reorders a dispersant approved two years ago, and no one can tell which variant of the formulation went out, because the bench notes and the plant sheet disagree. Both are filed.

Raw lot strength varies unnoticed

A surfactant or resin lot arrives with a different assay. The kettle is charged to the same recipe anyway, the viscosity drifts, and the supplier’s certificate is pulled out a week later to explain it.

Short runs are quoted at bulk cost

Cleaning the reactor takes longer than the reaction itself. A short run is still quoted at bulk cost per kilogram. The margin disappears.

Data sheets have many copies

Marketing, sales and the laboratory each hold their own copy of the technical data sheet, so a customer receives an old viscosity limit in a PDF nobody remembers editing.

Registration records sit with one person

Which raw materials are registered for which market is known to one regulatory officer. When that person is away, nobody can answer.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A customer problem is logged. It states the target properties, the application test the customer will run, and the contact who will judge the sample.

  2. 2

    Laboratory trials

Each trial variant is recorded with its recipe, bench viscosity and pH readings, and the customer’s feedback on the sample is attached beside them.

  3. 3

    Approval and scale-up

The approved trial becomes a numbered formulation version. A pilot batch comes first, and only then does the recipe move to full production.

  4. 4

    Production

The master batch record is followed step by step at the kettle. Raw lots, charge order, reaction temperatures, agitator hold times and in-process samples are written as they happen.

  5. 5

    Release

Viscosity, pH, solids, moisture by Karl Fischer and the customer’s own parameters are tested against the limits. The lot is released or held.

  6. 6

    Shipment

The certificate of analysis and the current data sheet are printed. The lot is then filled to pails, drums or IBCs and labelled with the batch number and hazard pictograms.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Customer enquiries and requirements

Log each enquiry with target properties, the end application and the customer’s own acceptance tests.

Laboratory trial register

Record trial recipes, bench results and customer feedback, then compare variants side by side. Nothing stays in a notebook.

Formulation versions

Hold approved recipes with revision history, an owner and the date each customer approved them.

Scale-up and pilot batches

Link a trial to its pilot and production batches, and compare yield, solids and viscosity across the bench, pilot and plant scales.

Master batch records

Define charge order, temperature ramps, mixing and hold steps, then record actuals for every batch.

Raw material lots and assays

Capture lot, supplier and assay for each raw material, whether a monomer, a solvent or a pigment. Approved substitutions are recorded on the batch.

Batch quality results

Store viscosity, pH, solids and customer tests per lot, with limits set for each product.

Certificates and data sheets

Print the certificate of analysis. Attach the controlled technical data sheet and the safety data sheet.

Registration references

Keep registration numbers, safety data sheets and supporting dossiers against products and raw materials, market by market.

Packing, labels and shipments

Fill pails, drums and IBCs with batch labels. Then issue delivery notes and tax invoices from the same dispatch.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Product Management

Each approved recipe is kept as a numbered version with its owner and customer approval date, so a reorder starts from the right one.

  • Bill of Materials

The master record lists raw materials in charge order, and the quantity actually added is written next to each planned line.

  • Batch and Serial Tracking

Every raw lot used in a batch is recorded with its assay, so a drift in strength traces back to the shipment responsible.

  • Quality Control

Viscosity, pH and solids are compared with limits for the product and customer, and a batch outside them is held.

  • Document Management

Technical data sheets are versioned documents, and only the current one can be attached to a certificate or quotation.

  • Estimate/Quotation Management

A quotation for a short run adds set-up and cleaning time to material cost, using the product’s stored values.

  • Work Order Management

A pilot batch is scheduled as its own work order and linked to the trial and to the production batches that follow.

  • Workflow and Approvals

A trial moves through proposed, tested, sent and approved states, with the chemist and customer contact recorded at each step.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For research chemists

Record trials, compare variants and promote the approved one to a formulation version.

For production supervisors

Follow the master batch record, add raw lots and in-process samples, and call the laboratory for release.

For quality and laboratory staff

Enter results, release or hold a batch and issue the certificate of analysis.

For technical sales

Check trial status, find a past formulation and send the current data sheet. Answer a reorder from the record.

For regulatory staff

Keep registration references against each product and see which customers they touch.

Reports

The numbers the owner asks for.

  • Trials open and their customer feedback
  • Formulation versions and approval dates
  • Pilot and production batches by product
  • Batches held or released by test result
  • Raw lots used in a chosen product
  • Data sheet versions sent by customer
  • Small-batch cost against quoted price

Honest answer

When it is not the right choice.

Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Formulation and test lists

The properties you test, such as viscosity, pH, solids, density and colour, are loaded with limits for each product.

Master batch templates

Process steps for each product are set up as your production team runs them.

Data sheet layouts

Technical data sheets and certificates follow your own wording and each customer’s preferred layout.

Registration fields

Fields for the references your regulatory staff keep are added to products and raw materials.

Records migrated

Past trials, formulations and customer lists are brought across from notebooks and sheets.

Documents and messages

Certificates and sheets go by email, and short trial updates by WhatsApp or other messaging.

Common questions

Questions owners ask before a demo.

Can we see every version of a recipe?

Yes, every version is kept. Each approved formulation carries its revision, owner and approval date, and a past version opens beside the current one for a quick comparison.

How does scale-up work in the record?

A pilot batch is linked to the trial it came from, and each production batch to the pilot. Yield and results sit side by side.

Can a raw material substitution be recorded?

Yes. A substitute lot is noted on the batch with the approver’s name. The product’s history lists every change.

Does it keep customer-specific limits?

Yes. A product can carry different limits for different customers, and the certificate prints the set that applies.

Can the laboratory import instrument results?

Where a viscometer, pH meter or titrator exports a file, results can be imported. Otherwise they are keyed against the batch.

Can we price a small batch properly?

Yes. Set-up and reactor cleaning time are stored per product, so a quotation for a short run reflects them.

How is the technical data sheet protected?

Only one version is current. Staff can send that one, and an older file cannot be attached to a quotation or a certificate.

What do we see before agreeing a proposal?

We run one of your formulations through the system, from first trial to certificate. The proposal that follows reflects your sites and users.
