Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Site survey and water analysis
  • Quotations by plant
  • Installation jobs and commissioning
  • Service contracts and visit calendar
  • Readings and service reports
  • Spares, media and chemical stock
  • Invoices and renewals

Roles that need their own access

Who logs in, and what each person may see or change.

  • For the owner
  • For sales and surveyors
  • For service technicians
  • In accounts

Reports to ask for

Ask to see each one with your own sample data.

  • Contracts due for renewal
  • Visits scheduled and completed
  • Plants by model, vessel size and site
  • Conductivity and permeate trend by site
  • Cartridges, membranes and chemicals consumed by site
  • Quotations open and won
  • Stock below reorder level

Systems it may need to connect to

Note which ones you already run.

  • Email
  • SMS
  • WhatsApp or other messaging
  • Online payment gateways
  • Accounting export
  • Barcode or label printer
  • Sensor or meter data feeds, scoped separately

Questions for any vendor

Put these to every supplier you are comparing.

  • Is it for companies that install plants or those that service them?
  • Are water test results kept for each site?
  • How are filter and membrane changes scheduled?
  • Are spares used under a contract followed?
  • Can customers get a report after each visit?
  • Does it connect to sensors on the plant?
  • Does it cope with several branches or vans?
  • Can customer and plant data be moved from our files?
  • Who owns the data?
  • What does it cost?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Plant details are scattered
  • Service dates are missed
  • Test readings are not kept in order
  • Consumables are not tied to sites
  • Contracts lapse quietly
