Manufacturing · Commercial Furniture Manufacturer Management Software

One system for furniture projects, shop drawings, fabric lots, phased delivery and defect clearing.

Run commercial furniture projects from tender to handover in one system. Each project holds its bill of quantities, approved shop drawings, finish samples, production by item and fabric and foam lots. Phased delivery by floor and zone, installation and the snag list that follows sit beside them. Sales engineers, designers, shop supervisors, upholsterers, dispatch clerks and installers read the same lines. A variation reaches the floor with its price.

  • Seating, desk and storage ranges with laminates and fabrics keyed to your price book
  • Projects in progress, pending approvals and unpaid invoices carried across from your records
  • Ask us to change project stages or drawing fields as your fit-out work evolves

Makers of workstations, task chairs, boardroom tables and storage sold as projects run each job on one record in GullySystem. It holds the bill of quantities, approved drawings and laminate samples, production by item and fabric lots. Floor and zone deliveries, variations and a snag list follow, with progress invoices matched to signed delivery notes.

Where it breaks today

What goes wrong before the software.

Approvals live in email

A consultant approves a laminate and a seat fabric in a one-line email. Production builds to another sample. The client rejects the first floor that arrives, and the mock-up chair is nowhere to be found.

Fabric colour varies between rolls

Upholstery rolls arrive from different dye lots. Without a note of which roll covered which chair, one boardroom ends up with navy seats in two shades that nobody notices until the client walks in.

Item lines and drawings diverge

The bill of quantities lists a chair model, but the drawing shows a later revision with fixed arms. The factory builds one and bills the other, and the difference surfaces at handover.

Delivery by floor is tracked on a sheet

Zones are handed over as the fit-out progresses. Delivered, pending and rejected counts are updated on a weekly sheet. An installer reaches a zone on level four with a missing pedestal.

Variations are agreed on the phone

Forty extra workstations or a changed edge finish are discussed on site over tea. The factory builds. The price and the approval are never written down, and the final account argues about both.

Defect lists have no origin

Scratched tops, loose castors and wrong fabrics are listed after handover. Nobody can tie them to a batch, a powder coat run or an installer, so the same fault returns on the next floor.

How it runs

How the work flows through it, step by step.

  1. 1

    Tender and quotation

The sales engineer prices a bill of quantities by item, finish, fabric and quantity. Revisions are kept, the awarded version is marked, and the quote can be reopened when the client trims a floor.

  2. 2

    Drawings and samples

Shop drawings and finish samples go to the client’s consultant. Approval is recorded against each item line with the revision number and the approver’s name. Nothing starts without it.

  3. 3

    Production by item

Approved items are released to the frame, panel and upholstery shops. Each stage is logged. Fabric and foam lots are linked to the chairs that used them, so a mismatch can be traced.

  4. 4

    Packing and delivery

Items are packed by floor and zone and shipped to follow the fit-out programme. Signed delivery notes are attached to the project, with balances still to ship shown beside them.

  5. 5

    Installation

Installers fit workstations, seating and meeting tables by zone and note anything missing or damaged. Approved variations are installed against their own lines. Shortages go straight to the dispatch clerk.

  6. 6

    Defects and handover

Defects are logged with photographs and closed by date. The handover note is issued when the last snag is cleared. The final invoice and the release of retention follow it.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Bills of quantities and quotations

Price each line by item, finish, fabric and quantity. Keep every revision, and mark the version the client awarded so nobody quotes from a stale sheet.

Shop drawings and revisions

Attach drawings to item lines with revision numbers. Production sees at a glance which revision is current, and a later revision flags items already cut.

Samples and approvals

Hold sample photographs, finish codes and the consultant’s approval against each item line, with the approver and date.

Production by item and zone

Release items to the frame, panel and assembly shops and show what is complete per floor and zone, from edge-banded tops to finished pedestals.

Fabric and foam lots

Record fabric rolls and foam density grades by lot and colour. Issue them to the upholstery bench and tie each chair to its roll.

Frame, powder coat and panel stages

Log cutting, welding, powder coating and laminating by item and batch, with rejects and rework recorded against the line that produced them.

Packing and phased delivery

Pack by floor and zone, print delivery notes, and record signatures. Balances still to ship stay visible on the project.

Installation crews and zones

Assign crews to zones and record items fitted. Note shortages and transit damage with photographs, so the claim against the carrier has evidence.

Variations and change orders

Record each variation with description, quantity, price and approval, and add it to the project value.

Defects and handover

Log defects by item, assign and close them. Hold the handover note and the defects liability period set by the contract.

Progress invoices and retention

Raise invoices against delivered and installed value, track retention held, and match each receipt to its project instead of a loose bank line.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Estimate/Quotation Management

Quotations are built line by line from item, finish, fabric and quantity, with each revision kept and the client’s awarded version marked.

  • Project Document Management

Drawings, samples and approval emails sit with the item line, and production sees which revision is current and who approved it.

  • Work Order Management

Approved item lines are released to frame, panel and upholstery shops, and completion is shown by floor and zone.

  • Batch and Serial Tracking

Rolls and foam are recorded by lot and colour, and each upholstered chair carries the roll that covered it.

  • Quality Control

Frames, coatings and panels are checked against the approved sample, with rejects and rework recorded against the item line.

  • Project Management Reports

Project reports compare awarded value with delivered and installed value, with variations and defects open by zone.

  • Ticket Management

Each defect becomes a numbered ticket with item, photograph, owner and closing date, and the handover waits for the last one.

  • Invoice Management

Invoices follow delivered and installed value under the contract, with retention held and released and each receipt matched to the project.

Who uses it

One system, each person sees their part.

For owners

See projects running, value delivered against awarded value, variations pending and defects still open.

For sales engineers and designers

Prepare quotations, issue drawings, collect approvals and see which items are held for a sample.

For shop and upholstery supervisors

Open the item list by stage, issue fabric by lot and log rejects.

For dispatch and installers

Pack and ship by zone, fit items on site, and record shortages and damage. A photograph goes with each entry.

For accounts

Raise progress invoices against delivered value and release retention when the project allows.

Honest answer

When it is not the right choice.

Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Item catalogue and finishes

Workstation, chair and table ranges go in with their laminates, veneers and fabrics, grouped as your sales team prices them.

Approval steps

Who approves drawings and samples, and what freezes an item line, are set with your project team.

Delivery zones

Floors, wings and zones follow the programme each project uses.

Contract terms

Retention, defects period and invoice stages are set per client.

Projects already running

Projects now on site, with their approvals and the invoices still owed, are keyed in and signed off by your project manager before the first new job.

Common questions

Questions owners ask before a demo.

How are approvals tied to production?

Each item line holds its approved drawing revision and sample. Production releases only lines marked approved, and a later revision flags items that were already started.

Can fabric lots be traced to chairs?

Yes. Rolls are issued by lot and colour, and each upholstered chair records the roll used. A mismatch in one room then points straight to its lots.

Does it support phased delivery?

Yes. Each floor and zone has its own list, delivery note and signature, and a project shows delivered, pending and rejected quantities.

How are variations handled?

A variation has a description, quantity, price and approver. It joins the project value only after approval, and production sees approved lines only.

Can installers use it on a site with weak signal?

They need a connection to load their zone and send photos. Whatever is logged in a basement dead zone stays on the handset and uploads on its own once a signal returns.

Are retention and defects periods supported?

Yes. Retention percentages and the defects period are set per project terms, and release dates appear in the invoice list.

Can we import our existing project list?

Yes. Your sales team sends open projects, item lines and unpaid invoices, then reviews the entered records itself before anything is released.

What does the demo show?

It shows one floor of an office project, taken from quotation to a defect closure, using your own furniture names. A written proposal follows.

What leaves the system if we stop using it?

Projects, item lines, approvals, deliveries, defects and invoices can be exported. Formats and scope are fixed in the quotation.
