Construction · Software for commercial interior fit-out contractors

Run each fit-out site from BOQ to snag list, with subcontractor and client billing.

A commercial fit-out contractor builds offices, showrooms and shops for companies, on a BOQ and a tight handover date. Work is split across carpentry, electrical, HVAC, flooring and painting teams, each paid on measurement. Our interior design and construction products hold the BOQ, work orders, running bills, materials and site progress for each project. Snagging and handover are added to them as custom work.

At a glance

A fit-out contractor works to a client’s drawings and a priced BOQ, not to a design of its own. The money is made or lost in measurement, variations and the payments to many small subcontractors.

Several sites run together, each at a different stage. The owner needs one view of what is certified, what is billed and what the teams on site are due.

How the work runs today

A tender or an enquiry arrives with drawings. The estimator prices the BOQ item by item, and after the award the project manager splits the work into packages for civil, partition, false ceiling, electrical, HVAC, flooring, furniture and painting.

Site engineers record progress against each BOQ line and raise material requests for gypsum, plywood, laminate, cables and fittings. Subcontractors are paid on measured work, with advances and recoveries shown against their work orders.

Clients ask for variations in the middle of the job, often by email. At the end, a snag list is walked with the client’s team, rework is closed, and the final bill waits on the handover.

Where it breaks

What goes wrong for commercial interior fit-out contractors without a proper system.

The BOQ and the site drift apart

Quantities change on site, and the working sheet no longer matches the priced BOQ. Variations go unbilled.

Subcontractor measurements are disputed

Each team keeps its own record of work done, and the engineer keeps another. Payment waits on an argument.

Running bills take days to build

Measurements, deductions, advance recovery and retention are pulled together by hand. The bill leaves late.

Material is ordered more than once

Requests come by call and message, and the store cannot tell what is on order. Surplus sits at site.

Snag lists live on paper

Items are noted on a printout during the walk, and closure is chased on calls. Handover slips.

What the software does

What we would build for commercial interior fit-out contractors.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

BOQ, estimate and quotation

Build the BOQ line by line with materials and labour, issue the quotation from it, and record actual spend against each line as the job goes on.

Packages and subcontractor work orders

Split a project into trade packages, issue a work order to each subcontractor with scope, rate and advance, and track what is measured and paid against it.

Measurements and running bills

Record measured quantities against BOQ lines and prepare the client’s running bill, with deductions, advance recovery and retention shown as separate lines.

Variations and client approvals

Log each change request with its quantity and cost, and tie the client’s approval to the version it refers to, so extra work is billed on a record.

Material requests, purchase orders and site stock

Raise indents from site, send purchase orders to vendors, and follow what was ordered, received and left over at each site.

Site progress and photographs

Record stage progress with dated photographs, so the client’s team and the head office see the same picture of each site.

Snag list and handover

Record snag items by area with an owner and a closing date, and keep the handover documents in one place. GullySystem adds this module as custom work.

Common questions

Questions commercial interior fit-out contractors ask before they call.

Is this for designers or for contractors?

The linked products were built for design studios and for builders. A fit-out contractor sits between them. We use both as the base and adapt the screens to your BOQ and billing.

Can it handle running bills with retention?

Yes. The construction product builds running bills from measurements, with advance recovery and retention held back. Your own bill format is matched during implementation.

Does it replace AutoCAD or project scheduling tools?

No. Drawings made elsewhere are attached to the project, and nothing is drawn here. A critical path schedule stays in your planning tool.

Can bills reach Tally?

No live link is built in. Client bills, vendor bills and payments are listed for your accountant, and an export file is quoted separately.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
