What goes wrong before the software.

Boxes are counted by eye

A showroom may carry hundreds of series across sizes and finishes. Without a count in boxes by series, a buyer is promised tiles that may not be there. Nobody has walked the godown.

Shade lots are not recorded

Tiles of one design differ in shade between production lots. When the lot number is not kept with the stock, a short delivery is topped up with boxes that do not match.

Quotations are built on loose sheets

A buyer asks for two bathrooms, a kitchen and a hall. Areas, boxes and fittings are worked out on paper. Every revision is written again.

Area and box counts disagree

Buyers think in square feet and the godown issues sealed boxes. Converting one into the other by hand, with a wastage allowance, is where a site runs short or long.

Breakage and returns are settled from memory

How it runs

How the work flows through it, step by step.

    Enquiry

    A buyer, an architect or a contractor walks in with a floor plan. The counter notes the site, the rooms and the area, then shows series by size and finish.

  2. 2

    Quotation

    Room by room, tiles, sanitaryware and CP fittings are listed with rates. Square feet become boxes. The quotation goes out by WhatsApp or printed for the site.

  3. 3

    Order and shade lot

    Once approved, the order is confirmed and boxes are reserved from one shade lot. Sanitaryware and fittings come off the godown rack or go on a company order.

  4. 4

    Delivery

    A challan is raised for each load, with vehicle, driver and box count. Part loads against the same order are followed until the site has everything.

  5. 5

    Billing

    A GST invoice covers tiles by box, sanitaryware by model and fittings by piece. Cash, UPI, a cheque or a posting to the buyer’s account is recorded.

  6. 6

    Returns and follow-up

    Broken boxes and unused stock back from site are received and credited. Open quotations and part-paid orders return on the follow-up list.

Yes. Catalogue, quotations, shade lots and delivery are shaped around tiles, sanitaryware and CP fittings. A dealer who also trades cement and steel can ask about the Building Material Trading product.

Can stock be held in boxes and square feet together?

Yes. Every series carries pieces per box and the area a box covers, so the counter quotes in square feet while the godown issues sealed boxes.

Does it keep shade lot numbers?

Yes. Lot numbers go in when a truckload is received, and an order can reserve boxes from a single lot wherever enough of it remains.

Can a quotation be made room by room?

Yes. Bathrooms, kitchen, hall and balcony are listed on their own, each with its tiles, sanitaryware and fittings.

How is the wastage allowance handled?

It is applied when area is turned into boxes. The allowance you use for each tile size is settled with you at set-up.

Can one order go out in several loads?

What happens to boxes returned from a site?

They are received back against the delivery and credited to the buyer’s account. Whether a return charge applies is decided with you.

Is there a Tally export?

Not built in. Your accountant can read sales and purchase figures inside GullySystem, and an export is sized once the ledgers in use are known.

Do we need this for a small single-counter showroom?
