Quote from measured rooms and count boxes by shade lot.

Flooring is priced by the square foot and bought by the carton, and margin leaks in the gap between them. Quotes come from measured rooms with your own wastage rule, stock is counted by dye lot, and cartons are followed to site and back. Years later the showroom still knows which lot a customer’s floor came from.

At a glance

Flooring is sold by area and bought in cartons. Wastage, skirting and a plank from another dye lot decide whether a job made money. Nobody checks until the last carton is opened.

The tile and sanitaryware showroom software is the closest fit, because it already counts cartons, records dye lots and quotes room by room for each customer. Your plank and roll ranges, carton coverage and laying rates go in on top.

How the work runs today

A customer walks in, handles engineered oak, laminate, luxury vinyl tile, SPC and WPC samples, and asks for a price, often with a phone photograph of a floor seen elsewhere. Someone visits with a laser measure and notes each room, doorway and stair. The quote follows by square foot, with wastage, underlay, threshold strips, beading, skirting and laying on separate lines, so the customer sees which charge belongs to which task. An advance confirms the order. Stock is then reserved, or ordered from the brand or importer. Delivery depends on the warehouse.

Cartons travel to site with a delivery note. The laying crew works room by room, paid by the square foot, and leftover cartons either return to the warehouse or stay behind in a cupboard. A year on, the customer wants more planks. The dye lot is hard to match. Builders, contractors and interior designers buy on account, site by site, and their payments arrive long after the subfloor has been levelled.

Where it breaks

What goes wrong for flooring companies without a proper system.

A second lot does not match

Extra cartons arrive from a new dye lot, and the floor shows two tones across one living room.

Returned boxes disappear

Leftovers come back from sites but never reach the register, so they are sold twice or not at all.

Wastage is estimated differently each time

One salesperson adds five cartons for wastage, another adds none, and diagonal layouts get no allowance. Margin swings from job to job.

Breakage has nobody to answer for it

Planks crack in loading, in transit or on the stairs at site. The loss is written off at stock-taking, and nobody can say where it happened.

Old stock fills the warehouse

Discontinued designs and odd cartons gather in the warehouse. Nobody sees their value, or which customer with a small utility room could use them.

What the software does

What we would build for flooring companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Room-wise measurement and quote

Quote room by room from measured areas, with your wastage rule applied as area becomes cartons. Underlay, threshold strips and skirting lines are added to the quotation format at set-up.

Stock by shade lot

Count every carton by product, plank size, finish and dye lot, so a repeat order is matched or refused before the customer pays.

Delivery notes, returns and breakage

Record cartons sent, cartons brought back and planks broken per site, so the count in the warehouse matches the count at the property.

Laying crew work log

Record area laid per room and crew, for crew payment by the square foot and for the customer’s bill. This log is built around the showroom software during implementation.

Builder and designer accounts

Hold builder, contractor and interior designer accounts with orders site by site, their invoices, retention held back and what is still pending.

Showroom enquiry follow-up

Log walk-ins with the site, the rooms and the area, and keep open quotations on a follow-up list until they are won or lost.

Common questions

Questions flooring companies ask before they call.

Can a customer reorder the same shade a year later?

Yes. Every order keeps the product, plank size and dye lot its cartons came from, so the showroom knows what to match. If that lot is finished, you learn so before promising anything.

Is a regular billing app enough?

Not for installed floors. A billing app serves over-the-counter sales well, but it stops short of dye lot tracking and of cartons that go to site and come back. Send us your warehouse register and we build the repeat order trail on top of it.

Can it handle planks, tiles and vinyl rolls together?

Yes. Planks and tiles are counted in cartons with the area each carton covers. Rolls of sheet vinyl and carpet sold by running length are set up as their own unit during implementation.

Does our accountant keep working in their own package?

Not through a built-in link. Sales, purchase and stock figures can be read inside GullySystem, and an export is sized once your ledger heads are known. Tax filing stays with your accountant, who confirms the rules for your country.

How is a flooring business system quoted?

Showrooms, estimators, laying crews and the range of products sold set the size. Builder accounts and shade-lot stock are separate parts. Old customer sheets add work. We first build a sample from your measured quote and stock sheet. Then every part is listed with an amount.

What should the showroom have on hand?

Hand over a recent room-wise quote, the stock sheet by shade lot, a delivery note, a laying crew work sheet and builder account statements. An estimator and a stores person then review the screens. Short sessions work.

Do we keep customer and shade history if we leave?

Yes. Customers, quotes, shade lots and crew logs are the business’s, with the programme. Open sheets are on offer at any time. Whoever wrote it handles any fault. A host of your choosing is allowed.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
