Field Services · Painting Contractor Management Software

One system for painting enquiries, measurements, quotations, crews and stage bills.

Manage a painting contracting business in one system. Site visits, wall and ceiling measurements and quotations sit with each enquiry. Once a job is confirmed, paint and material needs, crew days, coat-by-coat progress and stage bills follow on the same record. Painters’ wages and advances are tracked beside the sites they worked on.

  • Rate cards, room and surface types and your quotation format entered as you price today
  • Past clients, open quotations and running jobs migrated
  • Later edits to rates, stages and crew rules handled by our support staff when you ask

Painting contractors who run crews across flats, offices and exterior sites use this system, which GullySystem sets up for them. It carries site measurement sheets, quotations by area and coat, paint and material plans, crew days, coat-by-coat progress and stage bills. Painter wages and advances sit beside it. You fix the rate card and billing stages.

Where it breaks today

What goes wrong before the software.

Measurements are kept on paper

Wall sizes are noted in a pocket book at the site visit. The quotation is typed later from that book, and a missed room or a ceiling only shows up when the crew arrives.

Quotations are rebuilt each time

Each quotation is put together from memory of past rates. Two clients with similar flats can receive different rates for the same putty, primer and emulsion work.

Paint quantity is estimated by eye

The paint bought for a site is a guess against the area. Extra tins are fetched mid-job, and unused tins sit at the site after handover.

Crews are spread across many sites

Painters, helpers and mestris move between sites during the week. Who worked where, and for how many days, is remembered rather than recorded.

Stage bills are raised late

Putty, primer and finish coats finish on different days. The contractor waits to bill until the whole flat is done, and the client forgets what was agreed for each stage.

Touch-up work is not tracked

The client’s walk-through list is noted on a phone. Items are reworked by whichever painter is free, and nobody records whether the last one was closed.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and site visit

An enquiry arrives by phone, WhatsApp or a referral. It is logged with the address, the type of work and a date for the site visit.

  2. 2

    Measurement and quotation

Rooms, walls, ceilings, doors and grills are measured at the visit. The quotation prices putty, primer, emulsion or enamel by area and by coat, and goes to the client with the scope listed.

  3. 3

    Planning the site

Once the client confirms, paint and material needs are worked out from the measurements. A start date is set and a crew is allotted.

  4. 4

    Work at the site

The supervisor marks the crew present each day. Surface preparation, putty, primer and each coat are ticked off room by room.

  5. 5

    Stage billing

A bill is raised at each agreed stage, such as advance, after putty and primer, and on completion. Payments by cash, UPI or transfer are recorded against it.

  6. 6

    Handover and follow-up

The client’s snag list is closed out with touch-ups and the final bill is settled. Clients are kept on record for repainting and referrals.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Enquiries are logged by address and type of work, site visits are scheduled, and unanswered quotations are listed for follow-up.

  • Estimate/Quotation Management

Interior, exterior, wood and metal work is priced from the rate card by area and number of coats, with the scope written out.

  • Attendance & Time Tracking

Supervisors assign painters, helpers and mestris to sites by day and mark who was present at which site.

  • Invoice Management

Advance, running and final bills follow the agreed stages, carry GST where applicable, and record each payment received.

  • Stock Tracking and Alerts

Dealer purchases, tins sent to each site, tins returned and the balance owed to each paint dealer are recorded together.

  • Task Management

Walk-through points from the client are noted room by room, assigned to a painter, and closed out before the final bill goes out.

  • Payroll Management

Wages are worked out from days worked or area painted, with advances given and the balance due shown for each painter.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See quotations won and pending, sites running, bills due from clients, dealer balances and what each site has cost.

For estimators and site visit staff

Record measurements and prepare quotations from the rate card, and follow up on pending replies.

For site supervisors

See the crew and the day’s work for each site, mark attendance, tick off coats and note the snag list.

For accounts

Raise stage bills, record payments, keep dealer and painter balances and prepare the figures for the accountant.

Reports

The numbers the owner asks for.

  • Quotations sent, won and pending by month
  • Sites running and the stage each has reached
  • Paint and material used against the plan for each site
  • Painter days and wages payable
  • Stage bills raised and payments due from clients
  • Dealer purchases and balance owed to each dealer
Good fit

Who this is built for.

  • Residential painting contractors working on flats and independent houses
  • Contractors who paint apartment blocks, offices and shops for repeat clients
  • Exterior and texture painting contractors who work with scaffolding crews
  • Painting contractors who run several crews led by mestris across sites
  • Painting sub-contractors who work for builders and civil contractors
Honest answer

When it is not the right choice.

  • A lone painter on small jobs may find a notebook and UPI enough.
  • Businesses that run whole-house interiors, carpentry and furnishing will find the Interior Design Management System fits that wider work better.
  • Waterproofing and chemical treatment contracts keep different records and are better served by a separate product.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rate card and surfaces

Interior, exterior, wood, metal and texture work are priced the way you quote today, by area, by coat or as a lump sum.

Quotation and bill format

Your scope wording, terms and stage plan go into the quotation and the bill, so documents look like the ones you already send.

Clients, dealers and painters migrated

Client lists, open quotations, dealer balances and painter advances arrive from your existing register or spreadsheet.

Wage rules for painters

Daily wage, area-based rates and advance recovery are set the way you pay your crews.

Messages and payments

Quotations and follow-up reminders reach clients through WhatsApp, a text or an email. A UPI payment is entered on the stage bill it clears.

Common questions

Questions owners ask before a demo.

Can I work out paint quantity from the measurements?

Yes. Quantity comes from the measured area, the number of coats and the coverage you use for each product. The coverage figures are yours to set.

Does it handle interior and exterior painting?

Yes. Interior walls, ceilings, exterior faces, wood and metal are measured and priced as separate surface types, each with its own rate and coats.

Can I bill by stage instead of one bill at the end?

Yes. You set the stages for each job, such as advance, after primer and on completion, and each bill is raised against the quotation.

Can it track my painters across several sites?

Yes. Crew days are marked per site, so wages and site labour cost both come from the same attendance record.

Can it keep my paint dealer account?

Yes. Purchases, tins sent to sites and payments to each dealer are recorded, so the balance owed is visible. How the dealer prices tinting and returns is between you and the dealer.

Does it send GST invoices?

Yes, where you charge GST. Which rate and treatment apply is for your accountant to advise, and the GST fields follow that advice.

Can the figures reach Tally?

Not built in. Bills, payments and dealer balances can be exported for your accountant. Whether a direct Tally link is worth building is confirmed during scoping.

Can my existing clients and quotations be moved over?

Yes. Your register or spreadsheet of clients, open quotations and running sites is loaded in, and you check it line by line before go-live.

Who owns the data?

You do. Taking your records with you if you leave is covered in the written proposal, ahead of the first day of work.

What does it cost?

No price is published. It depends on the crews, sites and set-up, so a demonstration comes first and the cost follows as a written proposal.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
