Painting Contractor Software Views for Owners, Supervisors and Accounts

A painting job passes through the estimator, the site supervisor and the accounts desk. Each person is shown the portion of the job they handle. The owner has the full view.

The owner

Quotations and sites

Quotations won and pending, sites running and the stage each has reached, all on one screen.

Money in and out

Stage bills due from clients, dealer balances and the wages payable to crews, side by side.

Cost of a job

Paint, labour and extras read against the quotation, so a site that is drifting can be questioned in time.

Estimators and site visit staff

They see the enquiries assigned to them, the visit calendar and the measurement sheets. They prepare quotations from the rate card and see which of theirs are still waiting for an answer. They do not see wages or dealer accounts. That is deliberate.

Site supervisors

A supervisor opens the sites he looks after. He marks crew attendance, ticks coats room by room and notes snag points on a phone, while the material plan lists what should already be at the site. Other sites are not shown.

The accounts desk

Accounts raises stage bills, records payments from clients and payments to dealers, and prepares the wage list. It reads the quotation behind each bill, so a stage is billed at the amount that was accepted. It does not change measurements or tick the progress of a site.

What the client decides

Roles and the limits on each are set with the client during implementation. A small contractor may want the owner and the accounts person to see everything, while a larger one may wish to hide wage rates and dealer prices from supervisors.

FAQ

Frequently asked questions

Can one person hold more than one role?

Yes. In a small contractor’s office the owner may also be the estimator, and the views combine for that person.

Can a mestri log in?

Yes, if you want him to. He can be given the supervisor view for his own sites, with attendance and progress, and nothing else.

Can I hide wage rates from the supervisor?

Yes. Wage rates and dealer prices can be left out of the supervisor’s view, which shows days and progress only.

Who can see the quotation value?

The owner, the estimator who prepared it and accounts. Supervisors see the scope and the rooms but not the amounts.
