Half our sales are on credit to contractors and the ledger is always a week behind.
Building material suppliers sell cement, steel, sand, blocks and aggregates to contractors on credit, with orders taken on the phone, loads sent by lorry and payments chased every Saturday. GullySystem builds a system that ties each order to its delivery challan, site and contractor ledger, so you know what is outstanding against every site. The free technology audit starts with your Tally and your credit book.
In this trade the sale is easy and the money is hard. A contractor running four sites orders every day and pays when the builder pays him.
We build software that keeps the credit, the deliveries and the rates in one place, so the Saturday collection round starts with a clear list.
Orders come by phone and WhatsApp: forty bags of OPC to a site in Hebbal, two tonnes of 12 mm TMT to another, a load of M-sand by afternoon. The counter writes a delivery challan, a driver or a hired lorry takes it, and the site supervisor signs a copy that may or may not come back. Rates change with the cement company’s price list and the steel market, sometimes twice a week.
Most sales are on credit with a limit in the owner’s head. The GST invoice is made in Tally, often days after delivery, and the contractor’s ledger is matched against signed challans at month end. Collections happen on Saturdays by visit and phone, and the stock of steel by size and cement by brand is counted in the yard.
What goes wrong for building material suppliers without a proper system.
We delivered but the challan never came back
Without a signed challan, the contractor disputes the load and the amount sits unpaid.
Credit limits exist only in my head
A contractor who already owes ₹4 lakh gets another load because the counter did not know.
Rates change and old quotes get billed
The steel rate moved on Tuesday, but the invoice went out at last week’s rate.
Outstanding by site is a guess
The contractor runs five sites and pays by site, but the ledger shows only one running balance.
What we would build for building material suppliers.
Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.
Phone and WhatsApp order entry
Order recorded against contractor and site, with material, quantity, rate and delivery slot.
Delivery challan with photo proof
The driver photographs the signed challan or the unloaded material at site, attached to the order.
Contractor and site-wise ledger
Outstanding per contractor and per site, with ageing and the credit limit shown at order time.
Rate list by date
Cement, steel and aggregate rates with the date they apply from, so invoices pick the right one.
Yard stock by brand and size
Cement bags by brand and grade, steel by diameter and weight, updated as loads go out.

We already bill in Tally. Why add anything?
Tally keeps good books but does not know about sites, challans or credit limits. The new system handles those and sends invoices to Tally, so you are not doing the work twice.
Can it create e-way bills?
It can prepare e-way bill data from the challan and, where your setup allows, generate it through an approved provider. We check what you use today first.
Is this worth it for a small yard?
If you have a few steady customers and one person who knows everything, maybe not yet. It pays off once credit and deliveries outgrow one person’s memory.
Can drivers use it without training?
Mostly, yes. The driver screen is one button and a camera, and we walk your drivers through it once at go-live.
What happens in the free technology audit?
We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
