One system for consignments, lots, bidders, invoices and seller payouts.
Manage consignor agreements, lot registers, catalogues, bidder registration, sale-day results, buyer invoices, collection and consignor settlements in one system. Every lot carries its seller, reserve, hammer price and charges from receipt to payout. The clerk, the accounts team and the warehouse read the same record.
- Commission rates, premium rules and lot categories keyed in as your house charges
- Seller files, bidder lists and old sale results brought across and reviewed by your staff
- GullySystem staff amend rates and catalogue layouts on request
Auction houses keep consignments, lot registers, catalogues, bidders, hammer results, buyer invoices and seller payouts in Auctioneer Management Software, configured by GullySystem for each saleroom. Each lot holds its consignor, reserve, buyer and charges. Clerks, accountants and warehouse staff read the same record, and each settlement is built from it.
What goes wrong before the software.
How the work flows through it, step by step.
- 1
Consignment
The seller is recorded with an agreement and each item is received with a condition note, photographs, estimate and reserve.
- 2
Cataloguing
Lots are numbered, grouped into a sale and ordered. The catalogue is published and viewing days are set.
- 3
Registration and bids
Bidders register and receive paddle numbers. Absentee, phone and online bids are entered before the sale.
- 4
Sale day
The clerk records the hammer price and buyer for each lot, and marks others as passed or withdrawn.
- 5
Invoicing and collection
Buyer invoices are issued with premium and tax. Payment is taken and goods are released against it.
- 6
Settlement
Each consignor receives a statement of hammer prices less commission and charges, and is paid. Unsold lots are returned or re-entered.
What is inside.
Every module can be switched on, left out or changed to match how your team already works.
The business modules it is built from.
Each one is also available on its own, or inside a system built for you.
- Contact & Account Management
Sellers and bidders are kept as separate records, so one person who both consigns and buys has a single account.
- Product Management
Every lot has a code, a description, an estimate and a status, and the same record feeds the catalogue and the sale sheet.
- Barcodes and Labels
A printed label carrying the lot number goes on every lot, so warehouse staff find it by bay and match it to a buyer at release.
- Warehouse Management
Stock is held by bay and shelf, so the store knows where a lot sits and which buyers have not yet collected.
- Invoice Management
Buyer invoices combine the hammer price, premium and tax for each won lot, and show what the buyer has paid so far.
- Collections and Payment Follow-Up
Unpaid invoices become a call list for accounts, so goods held in the store are paid for or returned to the sale.
- Multi-Currency Support
Buyers abroad can be invoiced in their own currency while the house books its sales in the home currency.
- WhatsApp, SMS and Email Notifications
Bidders are sent catalogue releases, viewing days and invoice messages by email or other messaging, drawn from the registration record.

Questions owners ask before a demo.
Can one lot have several photographs and a condition report?
Yes. A lot holds its images, description and condition note. They feed the catalogue and the sale sheet from one record.
How are reserves handled?
The reserve is stored on the lot and shown only to staff you choose. If a lot does not reach it, the lot is recorded as passed.
Can it record absentee and phone bids?
Yes. They are entered before the sale and shown against the lot for the clerk. Results from an online platform can be loaded after the sale.
Does it calculate buyer’s premium and seller’s commission?
Yes. Rates are set per sale, consignor or lot type. How tax applies follows your country’s rules and is confirmed with you at configuration.
Can goods be held until payment?
Yes. A lot is marked ready for release only when the buyer’s account is settled, or when a manager allows it.
Can it run several sales at once?
Yes. Each sale has its own lots, dates and results. Bidders and sellers are shared across all of them.
Can past sale results be loaded?
Yes. Your spreadsheets of sellers, bidders and hammer results are imported, and the clerk reviews a sample against the old sale files before the first catalogue goes out.
Who owns the data?
You do. Lot registers, bidder files and settlement statements can be exported, in a format agreed in the contract.
What does it cost?
No price is published. The figure reflects how many staff log in and how many sales you hold each year. You see a live demo first, then receive the figure in writing.
Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
